The Portfolio Administration Manager is responsible for customer onboarding and maintenance which includes customer set-up in multiple bank systems, KYC, maintaining customer hierarchies according to the credit aggregation policies and partnering with Transaction Banking during the account opening process.Additional responsibilities are maintaining internal reports and controls functions in regards to the portfolio, QA and QC.The job will require working closely with internal (REI Relationship and Portfolio Managers) and external customers as well as participation in current and future enterprise-wide projects in regards to system implementation (SalesForce/nCino) and KYC (GRO & FI Discovery).

Customer Information Maintenance (50%): customer set-up & future updates in multiple bank systems; collection, review, system administration, document retention and periodic reviews for KYC; certifying KYC completion for customer onboarding and loan closings; maintaining customer hierarchies according to the credit aggregation policies
Transaction Banking account opening (10%): manage the account opening process from end-to-end, collect required documentation, submit request for account openings, work closely with Transaction Banking Partners to ensure the request is completed in a timely manner
Reporting (5%): create and manage internal reports to support the Portfolio Support Group, the Construction Group & Portfolio Management
Quality Control (5%): review daily, weekly, monthly reports in regards to document management and productivity of the Portfolio Support Group; research and stay informed on evolving regulatory standards and advise management on recommended or required changes in recordkeeping practices..
Risk Management (25%): Demonstrate knowledge of and is sensitive to the current regulatory environment; adhere to the Bank's risk vision, and risk management policies and programs; recognize and proactively address risk (including but not limited to those associated with Bank Secrecy Act, anti-money laundering, consumer compliance, fair lending, fiduciary responsibilities, and privacy); identify and appropriately manage risks.
Ensure top quality data input in all Bank Systems.
Education, Licensure, Year of Experience (and type of work experience): 3+ years of experience in Real Estate support positions: documentation, loan administration, investigations and underwriting.
Experience in Real Estate Portfolio Management is a plus.
Experience working with institutions and borrowers in the Real Estate industry.
Accounting and/or financial statement analysis/lending experience.
Knowledge, Skills, Abilities:
Ability to interpret and demonstrate an understanding of legal documentation within Real Estate Industries.
Documentation negotiation experience is a plus.
Excellent written and verbal communication skills, ability to communicate in a clear, concise manner to all audiences.
Extreme accuracy, with good analytical skills and strong attention to detail.
Excellent organizational skills, ability to prioritize appropriately, execute against aggressive deadlines and multi-task.
Self-motivated and able to motivate others in working as part of a team.
Results orientated without compromising controls.
Ability to deliver high level of service to internal departments.
Experience in Outlook, Microsoft Word, Excel, Adobe.
Experience in Bank's e-File system or similar document imaging management system.
Technical proficiency in documentation & compliance systems.
Working knowledge of various software tools and Bank Systems.
