General Overview

This position supports the PolioPlus team, responsible primarily for providing administrative support and engaging with Rotary members on matters related to PolioPlus. You will also have oversight of several large projects including awards for volunteer service to PolioPlus, facilitating the document retention process for PolioPlus including physical and electronic files, annual volunteer appointments, and drafting PowerPoint presentations. Your contribution will serve to support Rotary International's mission and strategic objectives by supporting the organization's top philanthropic priority, ensuring prompt and accurate responses to Rotarians and staff, and building the documented legacy of the PolioPlus program.

You Will Have

  • Bachelor's degree or equivalent relevant work experience.

  • Minimum 3-year experience working in an administrative role with advanced knowledge and skills of various computer applications and platforms including Word, Excel, PowerPoint, Adestra, Qualtrics

  • Strong organizational, administrative, and customer service skills

  • Ability to problem solve

You Will Be Responsible For

Supporting the PolioPlus Team

  • Your key responsibility daily is to support the PolioPlus team by managing the PolioPlus inbox, preparing for meetings of PolioPlus Committees and other major annual events, processing expense reports as needed, assisting with travel, coordinating group mailings to PolioPlus Committees, and drafting PowerPoint presentations.

Serve as the Central Point of Contact

  • You will serve as the central point of contact for staff and Rotary members including provision of responses to inquiries on the PolioPlus program, managing the PolioPlus inbox and managing the PolioPlus portal page.

Coordinating Projects

  • You will be responsible for coordinating several large projects including the awards for service to PolioPlus, annual committee appointments, logistical support arrangements for committee meetings, and facilitating the document retention process for PolioPlus as work continues to appropriately document the history of the program.

Other duties as assigned

  • Other duties may include, but are not limited to, meeting with visiting Rotarians, supporting events such as World Polio Day, leading department meetings, working on special projects, and testing system updates.

General Overview This position supports the Planned and Major Gifts Campaigns team, with a particular emphasis on activities that raise major gifts for the Areas of Focus Major Gifts Initiative, the Peace Major Gifts Initiative, and the End Polio Now. It also provides support for the Director of Planned and Major Gifts. You will have the opportunity to coordinate cultivation events and support the committees raising funds for these initiatives. Your contribution will help The Rotary Foundation to meet its $400 million annual fundraising goal. You Will Have * Undergraduate education or commensurate educational experience * A minimum of two years administrative experience in an office environment * Extensive expertise in Microsoft Office, particularly Word, Excel and PowerPoint * Strong time management and organizational skills * Ability to develop materials and correspondence based upon broad guidance * Webinar coordination experience * Basic design skills for simple newsletters and similar projects You Are Good At * Accomplishing tasks with a minimum of supervision * Setting priorities and working collegially yet independently * Written and oral communication * Showing attention to detail and commitment to accuracy You Are Open To * Building relationships with other areas of Rotary * Learning new skills that enhance the work quality of the team You Will Be Responsible For Project coordination and management * Work with Director of Planned and Major Gifts and Assistant Manager of Campaigns in coordinating materials and activities relating to Rotary's major gift initiatives for the Rotary Peace Centers, areas of focus, and Polio Plus, including Campaign Committees, planning group materials and cultivation activities related to fundraising activities * Coordinate and participate in webinars and conference calls * Coordinate budget, logistics and support preparation for up to 25 cultivation events annually * Manage trip preparation including staff and volunteer travel arrangements and materials preparation * Work with event venues on purchase orders, payments, and logistics * Prepare PowerPoint presentations and campaign reports * Monitor department budget expenditures and coordinate budget planning materials * Work with Communications on support materials, including brochures, event invitations and programs * Assist with other special projects as assigned.
