GENERAL PURPOSE
Provides clerical, front desk customer service, and office-related work, establishing and maintaining police reports.
SUPERVISION RECEIVED
Works under the general direction of the Administration Sergeant and may also receive direction from higher-level techs.
ESSENTIAL FUNCTIONS
Provides customer service in-person and phone coverage for the front counter on an on-going basis. Helps walk-ins with requests or questions.
Receives and directs incoming calls, complaints and messages. Assists in routing them to their appropriate areas in a timely and courteous manner.
Reviews and transcribes police reports, citations, and arrests in the Records Management System (RMS).
Develops and maintains a thorough knowledge of the Versaterm (RMS) system.
Assists in records management functions including preservation and retention with the Government Records Access Management Act (GRAMA) and Herriman Police Department policies.
Assists in ensuring accuracy of the police records for the monthly National Incident-Based Reporting System (NIBRS) submission needed for compliance.
Assists in National Crime Information Center (NCIC) validations each month.
Scans and uploads case documents to the RMS case file and distributes cases to other agencies as needed.
Provide support to other department members and Herriman City staff as needed to benefit the department and the City.
Performs other duties as needed or assigned.
MINIMUM QUALIFICATIONS
Education:
Experience:
Two (2) years of administrative experience.
Basic level skills in Microsoft Office products such as Word, Excel, and PowerPoint.
Ability to learn new systems such as the department-specific department records management software.
Certifications/Licenses:
Requires a valid Utah Driver's License.
Must get BCI cleared within six months of hire.
Must be able to pass a pre-employment drug test, and background/driving record check.
PREFERRED QUALIFICATIONS
Preferred Experience:
Knowledge of the Versaterm (RMS) system, court systems, UCJIS or equivalent.
Experience in law enforcement or equivalent.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of correct English usage, spelling, vocabulary, and arithmetic; general office practices, procedures and equipment. Ability to exercise initiative, and independent judgment and to act resourcefully under varying conditions; strong communication skills and the ability to communicate effectively verbally and in writing; ability to establish and maintain effective working relationships with fellow employees, elected officials and other agencies of the public; ability to work independently and prioritize daily duties; establish and maintain comprehensive records and files. Ability to analyze problems, make decisions, plan and organize, time management, delegate authority, and adapt to office situations.
Working knowledge of administrative procedures; of legal processes associated with the maintenance of public records, documents, and writing technical and legal documents; interpersonal communication skills, knowledge of accounting, clerical practices, business and management principles.
WORK ENVIRONMENT
Employee performs in a typical office setting with appropriate climate controls. Great mental effort is required daily; moderate mental pressure and fatigue exist during a normal workday due to moderate exposure to deadlines; tasks require variety of physical activities, not generally involving muscular strain, such as walking, standing, stooping, sitting, reaching, talking, hearing and seeing. Rapid work speed required to perform keyboard operations. Common eye, hand, finger, leg and foot dexterity required. Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking and some guided problem solving.
NOTE:
In the event of a declared emergency or any undeclared emergency or natural disaster that threatens the life, health and/or safety of the public, employees may be assigned to assist rescue and relief workers. Such assignments may be in locations, during hours and performing work significantly different from the employee's normal work assignments and may continue through the recovery phase of the emergency.

As this position exists under a public safety department of Herriman City, applicant understands that all employees of a public safety department are subject to random drug and alcohol screening and may be selected at any time for random screening.
