Position Description:

The Program Management Office (PMO) Support/Office Management Support works within the Delegata organization structure under direct supervision to perform administrative functions to support the health and growth of the overall business through fulfilling the mission to be a high-value service provider to Delegata management and consulting staff and assists in day-to-day office management operations.

This individual will support key practices and perform services to ensure programs or projects consistently apply guidance to deliver high quality results. The assistant will use formal practices, methods and tools to ensure information on team progress and status is available and to help project teams improve delivery quality based on services provided. The role requires ability to learn and use technical systems and applications to track project baseline information and to collect data used to analyze trends in multiple performance domains (internal operations and project operations).

Delegata PMO operations cover the following responsibilities: Time and Expense Management, Contract Management, Resource Management, Quality Management, Communication and Collaboration, Risk and Issue Management, Reporting and Measures, Scope and Change Management, Knowledge Management, and Training Content Management.

Office Management Support responsibilities include: Employee and Contractor Support, Day-to-Day Operations Management, Accounting Support, Office Maintenance, Administrative Support, Internal and External Communications, Event Organization, and Technical Support Management.

This individual must ensure that services, processes, methods and tools are used according to defined procedures for both PMO Support and Office Management Support:

Specific duties related to PMO Support functions include:

o Assist in maintaining engagement/project information (with input from Management).

o Assist in administering contracts.

o Receive, file and distribute contracts.

o Provide quality assurance, as it relates to our process.

o Support engagement and project audits and reviews.

o Support business performance through analyzing and detecting variances in engagement and project budgets and actual performance.

o Assist in maintaining PMO folders and files (e.g., schedules, reports, reviews, risks).

o Assist in creation and maintenance of PMO reports.

o Provide basic end-user support and training.

o Assist in maintaining user set-up.

o Assist in setting up and maintaining engagements and projects.

Specific duties related to Office Management Support functions include:

o Assist in supporting the day-to-day office operations, including maintaining inventory and overseeing office maintenance.

o Follow up on action items for the Company CEO and Office Manager

o Assist in AP and AR Accounting functions as needed, including collecting data and maintaining records.

o Utilize the Microsoft 365 suite of products (Excel, Word, Outlook, etc.) to create professional documents and communications.

o Assist in company event planning, as well as managing and maintaining multiple company calendars.

o Conduct research and create and maintain organizational systems.

o Schedule and organize community-related charity events and meetings. Distribute meeting agendas and record minutes for distribution to board members.

o Assist in the management of IT Support by organizing and following up on support requests.

MANDATORY QUALIFICATIONS:

Skilled in working in small, interdependent teams.

Skilled in effectively using standard office tools (MS Excel, Word, PowerPoint, Outlook, Visio, etc.).

Skilled in conveying messages in written, verbal, and graphical ways to get a point across.

Must be willing to train in Project Management topic areas.

Must be willing to make use of systems provided to facilitate quality and consistency.

Must be genuinely concerned about meeting required needs and expectations.

Detail oriented.

Flexible and able to adapt to changing priorities and fast-paced environment.

DESIRABLE QUALIFICATIONS:

Skilled in reporting progress and status on programs or projects.

Skilled in analysis of routine program or project information.

Knowledge of project lifecycles, exposure to project management methodology.

Experience in project coordination/administration.

Delivering services in a collaborative environment.
2-5 years Administrative Assistant experience.

Excellent writing skills to assist with process documentation and QA review

Innovative.

EDUCATION, CERTIFICATION, & TRAINING EXPERIENCE:

Bachelor of Arts or Sciences in a related discipline.
