Administrative

  • Act as the plant receptionist and telephone operator.

  • Communicate frequently with other departments to ensure smooth plant operations and open communication lines in the plant.

  • Ensure plant bulletin boards are updated and complete.

  • Manage purchase orders, receipts and invoices for all manufacturing, office supplies, and services.

  • Complete multiple accounting and financial functions from an administrative view.

  • Provide coaching and advice to management as needed.

  • Organize company outings and function.

HR

  • Process HR-related documents for hourly plant personnel, such as status change forms or leave of absence.

  • Understand the company's benefits programs in order to act as a benefits counselor to the hourly personnel.

  • Track attendance records and complete all payroll functions in an accurate and timely manner.

  • Assist the Operations Manager with coordinating the hourly personnel recruitment process by compiling employment applications and maintaining files.

  • Conduct new employee orientation and update various monthly HR reports in the Intranet.

Plant Responsibilities

  • Comply with OSHA standards and company policies and procedures as they relate to safety and hygiene.

  • Drive development action plans and performance improvement plants as the Operations Manager sees fit.

  • Communicate quality issues and out of specifications conditions to appropriate personnel and with shift leaders.

  • Keep records of customer interactions and transactions, recording details of inquiries, complaints and comments as well as actions taken.

  • Prepare documentation of production tickets and load sheets and certificates of compliance or analysis.

  • Pricing verification, order entry & invoicing verification.

  • Communicate with shipping carrier for on time delivery to customer.

  • Plan and implement controls to track supplies, raw materials, work in process and finished goods inventory.

  • Perform functions related to scheduling, procurement, customer service and/or shipping of products.

  • Update multiple accounting and financial functions from and well as data entry into JD Edwards and other software.

  • Inspect in-coming materials and report damages and discrepancies for accounting, reimbursement and record-keeping.

  • Record shipment data, including weight, charges, and space availability.

  • Input customer feedback into the Quality Database & Customer Feedback Database.

  • Manage customer specific finished goods.

  • Assist with the management of obsolete inventory.

  • Assist with accounts receivables.

  • Maintenance of manual BOL.

  • Sample shipments.

  • Mail marketing information (brochures).

  • Generate and distribute customer-required reports (inventory, volume, etc.)

  • Assist with Credit Memos when needed.

  • Maintain customer files.

  • Occasional Utility Worker duties on as-needed basis, to include loading and unloading trucks and operating bagger machines.

Other duties and roles as assigned by management.

Targeted Pay Range:

$60,000.00 - $73,500.00

Qualifications:

Required:

  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Internet.

  • Tact and phone etiquette when interacting with customers and employees.

  • Effective written and oral communication skills.

  • Five years' experience in an administrative field.

  • Knowledge of principles and processes for providing customer service, including customer needs assessments, meeting quality standards for services, and evaluation of customer satisfaction.

  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations, and payroll information.

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures.

Preferred:

  • Associate of Science degree in a related field such as Accounting, Human Resources, or Administration.
