About the Role:

We are seeking a Practice Manager to join our busy and growing practice. As an integral member of the veterinary management team, the Practice Manager partners with Managing Veterinarians and owners to ensure smooth, profitable operations, driving revenue, and managing costs while fostering a culture of high-quality patient care and exceptional customer service.

Key Responsibilities:

Leadership and Planning:

  • Develop and execute growth strategies with Managing Veterinarians and owners.

  • Establish practice and staff goals.

  • Analyze and improve systems, policies, and processes.

  • Champion change and promote best practices.

  • Participate in planning and budget maintenance.

  • Create practice schedules and manage labor costs.

Financial Management:

  • Analyze financial health and diagnose issues using reports.

  • Ensure accurate payroll completion.

  • Manage accounts receivable and cash on hand.

  • Oversee practice inventory and control costs.

  • Perform essential duties for practice performance.

People Management:

  • Address staffing needs, including hiring, training, and disciplining staff.

  • Provide coaching and feedback.

  • Implement performance-based incentives and recognition programs.

  • Manage staff, including ambulatory and satellite staff.

Operations Management:

  • Oversee employee benefits and practice insurance plans.

  • Develop and implement practice policies, including DEA/Controlled Substances and OSHA compliance.

  • Monitor and maintain equipment and computer systems.

  • Manage a fleet of vehicles, ensuring maintenance.

  • Track and maintain current licensures for all DVMs.

  • Oversee vendor relationships.

Client Service:

  • Demonstrate and reinforce the highest level of client service.

  • Resolve client issues and oversee follow-up communication.

  • Drive client visits through strategic communication and marketing efforts.

  • Develop a strategic marketing plan for community engagement.

  • Manage the practice's reputation through social media and marketing campaigns.

Qualifications:

  • Passion for horses is essential! Experience with horses, either as a hobby or professionally, is required.

  • A bachelor's degree in business or a related field is preferred.

  • 3-5 years of managerial experience, including customer service.

  • Experience in a veterinary practice or equine/mixed animal practice is a plus.

  • Proven ability to manage multi-functional and multi-site operations, including budget and labor management.

  • Strong time management, delegation, and results-oriented skills.

  • Expertise in staff management, including coaching and developing staff.

  • Knowledge of HR policies and protocol development.

  • Proficiency in reporting and data analysis.

  • Excellent problem-solving and resolution management skills.

  • Effective customer service and marketing strategies.

  • Strong interpersonal skills with staff and clients.

  • Basic computer skills, including Microsoft Office; experience with practice management software is preferred.
