Responsibilities

Position Summary:

The Physician Services Data Administrator provides support in the administration of the Physician Services new hires, status changes, terminations, pay entry, and the related systems and processes, which establish and maintain these functions.

Responsibilities may include:- Inputs all Physician data into HRIS system. This includes new hire data, personal data, salary changes, status changes (includes FTE status and shareholder status), benefit and accrual plan eligibility, and termination processing.

Performs regular audits of respective system to ensure data integrity; makes changes accordingly within established procedures.- Processes background checks for new physicians and providers. Ensures background is entered into the system in a timely manner, results are tracked and any issues or discrepancies with results are escalated to the appropriate person.- Represents department in system upgrade and change projects and discovers implications of Human Resources systems changes initiated from Corporate (or departmental) changes and their impact on any auxiliary system. Develops project timeline and task list for system-wide changes.

Informs stakeholders of issues, timing, challenges, and seeks assistance when warranted.- Develops and maintains processes, system checklists, job aids, and other documentation. All said documentation shall be stored in local area where all may access it.- Regularly audits physician/mid-level provider personnel data against systems and documents to ensure a level of data integrity.- Processes pay submissions from physicians, clinics and hospitals for all medical groups' physicians and providers. Ensures an active contract is in place for each pay request.

Enters pay items into the pay system and audits all entries for accuracy. Answers questions and resolves issues in regards to pay entries.- Reviews and approves/denies expense reimbursement submissions received in the Concur system per the medical group Expense Reimbursement & CME Policy. Works collaboratively with the physician/provider or clinic management to obtain any additional proof of expenses needed or returns incomplete submissions to the physician or provider for further documentation.- Researches pay issues by using pay system reports and/or reaching out to hospitals, clinics or Dignity Health Payroll.

Analyzes pay and any discrepancies and ensures proper and accurate payments are received by physicians and providers.- Processes terminations for all medical groups. Ensures final pay is caculated and requested from payroll within required timeframes. Prepares and sends exit letters to all terminating physicians that summarize the status of their benefit programs upon termination.- All other duties as assigned.

Qualifications

Minimum Qualifications:

  • 2-3 years Administration experience required.- High school diploma or equivalent (GED).- In-depth knowledge of personal computers, word processing and electronic spreadsheet software. Advanced level Excel and Word, and beginning level Access are strongly preferred.

    Must know or be able and willing to learn Lawson HRIS system.- Must have an understanding of HRIS systems and data entry. Must exercise discretion and confidentiality when dealing with personnel and pay information. Because this position is in constant contact with others, must be courteous, efficient, have a neat appearance, and be knowledgeable about Human Resources Administration procedures.

Preferred Qualifications:

  • Strong Accounting background preferred.- Associate's degree with an emphasis in Human Resources or other appropriate discipline preferred, or equivalent experience. HR certification also preferred.- Previous Lawson HRIS experience preferred.
