Uses in-depth knowledge of Federal, grant, and College policies and procedures in all aspects of this position. Independently administers, reconciles and reports on departmental accounts. Submits departmental paperwork to the Arts & Sciences Finance Center and ensures the Arts & Sciences Finance Center completes transactions. Assists with budget development and other departmental financial projects. Minimum Experience * Four years experience in grant and contract management and/or accounting in an educational setting. * Experience applying regulations specific to grants. * Experience interacting with PIs to meet their specific needs relating to grant management. * Three years of office experience in a related field with some autonomy. * Familiarity with College oracle financial management systems and Microsoft Office Suite. * Accounting and budgeting experience, preferably in an academic environment. Key Accountabilities Key Accountabilities Grant Administration * Assists RGM with all aspects of the financial and administrative management of sponsored projects. * Works independently on many post-award portions of sponsored projects management in their area. * Monitors expenses for allowability, allocability and consistency with faculty and sponsor objectives. * Monitors compliance with internal and external policies. * Monitors expenditure levels to avoid cost overruns. Identifies problems, notifies RGM and works with RGM and the PI to take corrective action. * Reconciles expenses and revenues of the grant against established amounts and ensures that all errors are corrected on a timely basis. * Processes and approves purchasing card, e-procurement, accounts payable, reimbursement and other financial transactions. * Prepares and processes cost transfers to correct errors or appropriately reallocate expenses. * Handles confidential material with tact and care. * Collects and consolidates information and data to prepare routine and specific reports to meet internal and external requirements. * Develop and update periodic reports and budget projections using Excel-based projection models. * Monitors and tracks transactions sent to A&S Finance center and other College offices to ensure proper action is taken and problems are resolved. * Develops and maintains independent understanding of Federal, grant and College regulation and policies. * Develops and streamlines office administrative systems. * Assist RGM with Pre-award process as needed. * Interact with faculty and dept. administration to further grant processes. Departmental Accounting & Reconciliation * Process payments (e.g. travel and business expense reimbursements, invoices, student awards) and other paperwork associated with department and faculty accounts to submit to the Art & Sciences Finance Center (ASFC). * Obtain necessary documentation to submit purchase requisitions for purchase orders via eProcurement system or to submit to ASFC. * Reconcile 50-80 purchasing card transactions per week on PCARD system. * Collect receipts and business purpose information and ensure correct accounts are charged. * Complete monthly reconciliation of roughly 25 purchasing card accounts, identifying and correcting any discrepancies. * Monitor College financial policies and procedures and apply this knowledge when using forms and systems. * In coordination with Department Administrator, interpret policy for faculty, staff, and students. * Assist PBS faculty, staff, and students in navigating various financial systems and processes. * Process monthly animal care and purchase invoices. * Balance and maintain records for the animal research care account and prepare accurate and timely reports delineating departmental and sponsored project animal care account activity. * Apply understanding of departmental animal care expense policies and procedures when authorizing billing by the Animal Research Center to this account. * Use in-depth knowledge of College accounting and systems to create and update customized reconciliation reports, annotated to supplement IRA reporting, to reflect individual complexities of various PBS accounts including budget projections when appropriate. Accounts include the PBS department general ledger accounts, endowment and gift accounts, faculty accounts as needed (Startups, IRRs, SRRs, Burke Award), and other non-grant accounts. * Uses Excel-based projection models for accounts managed. * Provide support to department by researching and providing data as requested. * Maintain historical records related to department accounts and financial activities. * Closely monitor financial issues and transactions (e.g. journal corrections, outstanding invoices or payments, reconciliation issues), and follow up to ensure completion and resolution. * Represent the department in a professional manner and completes work accurately and in a timely manner. Communication * Communicate with a diverse population of faculty, post-docs, graduate students, undergraduate students, and staff within the department as well as outside constituencies including Colloquia speakers. * Collaborate with the A&S Finance Center and other offices to achieve departmental goals. * Deliver exceptional service to department in a responsive and accurate manner. * - Demonstrates a commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others. -- Performs other duties as assigned.
