This is a Full Time Monday thru Friday 8am to 5pm position with Women Partners
in Health.

Position: Phone Scheduler

Report To: Team Lead / Care Center Manager

Purpose: Responsible for answering all customer/patients phone calls as well
as scheduling appointments from callers. To meet and exceed customer
expectations and adhere to established quality practices while seeking to
continually improve work performance. We are looking for a candidate who is
professional, knowledgeable, well-spoken and empathetic.

Responsibilities:

Promptly answering inbound calls for care center.
Greeting callers properly and politely.
Taking a short message and/or information from the caller very quickly.
Communicates phone message to appropriate party promptly.
Schedules and confirms appointments from callers.
Reschedules appointments when Physician and/or patient schedule changes.
Confirms patient information and enters changes into computer system.
Takes appropriate action for medical and non-medical emergencies occurring
within the office.
Performs front desk duties as needed.
If applicable, schedules appointments as patient checkout from their
appointment.
If applicable, creates and mails patient reminder cards.
Performs other duties as assigned.

Skills, Education, & Experience:

High School diploma or GED is required, prefer some college.
Prefer minimum 1 to 3 years experience in medical office environment.
Prefer experience in patient scheduling.
Prefer experience with a multi-phone system.
Excellent communication skills (written and verbally).
Demonstrate proficiency in personal computer office applications, such as
word processing, databases, and scheduling software.
Excellent customer/patient service.

Ability to multi-task and prioritize duties.
Ability to handle high stress situations and adapt to changing
circumstances.
High attention to detail.
Ability to put patients at ease.
Must be able to stand, sit, bend, and walk.
Must be able to maintain confidentiality.
Ability to operate telephones and standard office equipment such as
photocopiers and facsimile machines.
Ability to maintain professional working relationships with staff and
patients.

Job Summary: Responsible for observing, evaluating, and documenting visits as well as providing direct and indirect care to patients. Meet and exceed patient expectations and adhere to established practices while assuring the best possible care for patients. Essential duties and responsibilities: Perform and record patient medical history, vitals, symptoms and/or conditions if applicable. Checks patient’s height and weight if applicable. Administer screening tests as well as evaluating and recording results if applicable. Screens patient calls to the physician; handles all calls that do not require the physician’s intervention, ensuring that phone calls are returned in a timely manner if applicable. Under provider orders, administer medications and treatments if applicable. Ensures treatment areas are safe, organized, clean, have well-functioning equipment, and supplies are adequate if applicable. Provides health education to patients including distributing materials. Triage unscheduled patients to the care center and implement appropriate interventions. Maintains and reviews patient’s records and charts posts tests and examination results. Reviews lab results and notifies Physician of abnormalities and communicates recommended treatment to patient. Takes appropriate action for medical and non-medical emergencies occurring within the office. Assists in surgery scheduling as needed. Perform nursing care in accordance to establish policies and procedures. Obtain lab/x-ray reports, hospital notes, and referral information. Promote quality patient care and customer satisfaction. Perform other duties as assigned. Skills/qualifications/experience: High School diploma or GED is required Graduated from accredited school of Vocational Nursing and be licensed with the Board of Vocational Nurse Examiners for the State of Texas. Requires CPR certification. Prefer 1 year of experience as an LVN, OB/GYN experience is a plus. Excellent communications skills (written and verbal). Bilingual is a plus. Physical/mental abilities: Ability to prioritize, multi-task, and work independently. Ability to handle high patient volume. High attention to detail. Ability to work well in a team environment. Must be able to stand for long periods of time. Must be able to handle difficult situations in a professional manor and maintain confidentiality.
