Job Overview

We have an opportunity for a Philanthropy Assistant to join the Office of Philanthropy in our Galveston, Texas location.

Join a team of professionals committed to improving children's lives. We are presently recruiting for a professional who will support the department's outreach activities. This is a dynamic and meaningful position for a development professional interested in making an impact.

The Philanthropy Assistant will help collaborate with the Philanthropy team in planning and executing special events, donor cultivation events, stewardship programs and other engagement activities as well as administrative operations including in-kind donations, donor acknowledgment, and donor database management. The role will support the stewardship of donors and key relationships, build awareness and increase engagement with Shriners Children's Texas. This position reports to the Senior Director of Philanthropy.

This position requires local travel for events as well as travel to the Annual Department Conference. This position also requires a willingness to occasionally work evenings and weekends when necessary.

Responsibilities

Stewardship and Cultivation

  • Assist development team members with individual donor prospect identification, research, cultivation, solicitation and stewardship. This includes developing stewardship relationships with select donors and volunteers.

  • Assist the team in maintaining cooperative relationships with affiliated Shrine Temples, Shrine Clubs, and local community support groups (3rd Party Events) for philanthropic support.

  • Creates annual stewardship plan for all donors and coordinates segmented donor communication

  • Create and maintain confidential donor prospect records in hard copy and electronic formats.

Philanthropy Office Administration

Provides support to the Senior Director of Philanthropy in the fulfillment of departmental duties including:

  • Draft donor correspondence, develop reports and presentations, and coordinate the content collection and approvals process for the creation of newsletters, publications, digital platforms such as but not limited to MyEmma, social media posts and printed fundraising collateral with support from Marketing and Communications/PR team.

  • Assist team with large mailings, preparation of donor packets, tracking of donor recognitions and meeting coordination and file maintenance.

  • Serve as primary contact for in-kind gifts, in coordination with other hospital departments.

  • Proactively clean and update donor information in Blackbaud CRM.

  • Generation of monthly status updates; budget preparation; expense reporting; travel and meeting coordination; calendar management and file maintenance.

Events

  • Supports the Development Director in the planning and execution of major donor cultivation meetings, luncheons, and events including: creating and managing event budgets; planning timelines; coordinating venues, catering, equipment and speakers; track all event data using CRM, including invitation lists, RSVPs, payments, donations, and annotations in individual donor records; serve as main "day of" logistics orchestrator and troubleshooter; facilitate post-event follow-up activities; and conduct post-event appraisals to determine success.

  • Support departmental meetings including date and location scheduling; communication; attendance tracking; agenda; meeting material and presentation preparation; logistics coordination; meeting minutes recording and distribution; and follow-up activities.

  • Assist development team with 3rd party events including event promotions, check presentations, conducting and assisting with hospital tours, etc.

Qualifications

Experience Required:

  • Minimum 2 years of demonstrated success in the development field

  • Excellent interpersonal and public speaking skills required

  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, and mail merging, required

  • High School / GED required

Experience Preferred:

  • Experience with Blackbaud CRM, Raiser's Edge or other database system preferred

  • Bachelor's Degree preferred but not required

Current full vaccinatoin status required
