Job Summary

Under general guidance, provide support to Relationship Manager(s) and management and their clients. This support includes responsibility for daily coordination of account administration for personal trust and agency relationships.

Maintain accounts by initiating a range of account activity, monitoring account records to ensure accuracy and completeness, and responding to client inquiries. Assist Relationship Managers in developing additional business, preparing client presentations and coordinating with internal partners. Work with Relationship Managers to ensure adherence to standards and regulatory requirements. Working directly with clients and internal partners to solve problems and provide superior customer service.

Responsible for reporting suspicious activity to Financial Intelligence. Responsible to report all customer complaints as prescribed and procedure violations to management or HR. Responsible to report ethical concerns as needed to Associated's anonymous Ethics Hotline.

Job AccountabilitiesCoordinate all aspects of daily account administration for personal trust and agency clients. Monitor situations to ensure prompt action.

Interact with Relationship Managers and internal partners to coordinate daily client activity, oversee transaction processing, document services provided, handle inquiry resolutions, and obtain appropriate documentation. Communicate information on aspects of a customer relationship to Relationship Manager(s) and other internal partners as needed. Perform ongoing maintenance while adhering to compliance guidelines.

Provide general administrative and sales support to Relationship Managers and management. Administrative support may include scheduling, correspondence, reporting and other projects as assigned.

Sales support may include monitoring and updating internal systems, reporting and preparing sales presentations and client materials as necessary. May perform MoneyGuide Pro data entry. Act as a liaison with internal partners such as customer care, legal, credit, etc. to address and resolve complicated transactions and issues.

Use online deposit and trust systems to obtain vital customer information to include but not limited to: opening and closing accounts, overseeing account distribution, documentation of discretionary payments and account reviews, and cash processing (bill payment, wires, ACH, etc), as well as performing various other service requests. Provide customer service and process daily transactions for Personal Trust clients as requested.

Work directly with Personal Trust clients in partnership with Relationship Managers and internal business partners to answer complex questions and solve operational issues while providing superior customer service.

Work with Relationship Managers and management to ensure all account activity and administration is in order in regards to compliance and risk management with established Associated Bank policy, procedure and business strategy as well as applicable regulatory guidelines.

Maintain a basic understanding of relevant tax laws and legal requirements applicable to trust administration in order to assist in resolving client issues as they relate to the trust agreement.

Serve as a liaison to all Trust Operations colleagues for workload planning and the upkeep of all related procedures for efficiency, accountability and productivity. Review and approve the valuations, monitor and post income, maintain gain/loss distributions, process admission and redemptions, and monitor overdrafts. Send pricing to vendors when fund valuations are complete. Provide necessary support as a back-up for other daily fund valuation processing items as needed. Monitor daily exception reporting and other reports tied to Common, Collective and Unitized Funds. Exercise good judgment according to current policies and procedures when resolving report exceptions or evaluating outcomes. Seek assistance when necessary. Ensure all work within the fund valuation area is completed on time and accurately by planning, coordinating and monitoring the daily activities of the fund valuation team. Provide work direction while helping to maintain an efficient working environment. Research and process transaction reversals when needed. Verify for accuracy. Update written procedures for efficiency, productivity and accountability. Coordinate with Trust Compliance and audit areas as necessary to ensure proper procedures have been followed and that ongoing policies comply with appropriate requirements. Seek alternative ways to improve processes and procedures and identify recurring problems and issues. Communicate them to the Trust Operations Supervisor for possible procedural changes. Provide input to department policy and procedure development. Be involved in and oversee projects within the trust operations department to ensure efficient and effective completion. Maintain an awareness of system upgrades and changes. Review APO/FIS user setup documentation to ensure that maintenance/additions made have been approved and signed off by ACE administrator. Compare documentation to generated report daily. Manage departmental workloads; be aware of vacations, illness and volumes in general for all positions within the trust operations department. Adjust workloads as needed to ensure work is processed in a timely, accurate fashion. Utilize knowledge of Trust systems to research and provide Common, Collective and Unitized Fund information to both internal and external audit. Serve as a subject matter expert to fully address all requests and resulting questions. Pay Common and Collective Fund audit fees. Maintain accruals for fees. Set up new Common, Collective and Unitized Funds on the Trust system. Research and provide assistance in unique or escalated situations within all areas of trust operations. Communicate regularly with trust administration, management and others to exchange information, answer questions and resolve issues. On a quarterly basis, monitor wire activity as a part of BSA regulations. Distribute report to administrators for review of suspicious activity. Track responses. Provide backup support to several areas in trust operations.
