The Personal Injury Department Manager will manage and direct the functions of our personal injury department related to medical records, billing, scheduling and providing client updates.

Essential Duties and Responsibilities:

  • Oversees and streamlines the legal patient intake, account set up, and monitors all legal accounts.

  • Compiles legal reports for provider review-Narrative, Perm, Etc.

  • Keeps health care providers/requesters/attorneys informed by communicating availability or unavailability of the record.

  • Maintains continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.

  • Maintains patient confidence by keeping patient records information confidential.

  • Enhances clinic reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

  • Creating patient(s) a chart in Athena. Loading all correct documents into patients account and making sure insurance is correctly loaded.

  • Creating a billing statement for both Clearway Pain and Clearway Surgery Center. Verifying balances match patients account and sending to requested party. Confirming ins. payments and verifying balances after payments are posted.

  • Works with other departments to ensure protocols are in place and adhered to.

  • Establish point of contact with Attorneys office and patient

  • Liaison between provider, practice, patient and patients representative.

  • Oversee all processes with MoveDocs

  • Resolves escalated patient/client issues/complaints.

  • Prepares and analyzes reports of audit review and performance issues with a focus on identifying trends, instituting continuous quality improvement initiatives, and identifies and provides on-going training opportunities for assigned staff.

  • Works with sales to promote the service line and establish relationships with attorneys.

  • Participates in and complete all required trainings and in-services.

  • Performs other duties as assigned.

Minimum Qualifications:

  • High School Diploma, or equivalent WITH a minimum of three (3) years related experience; OR an equivalent combination of education and/or experience.

  • Must have knowledge of Internet and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).

  • Must have excellent written and oral communication skills, including exceptional customer service.

  • Must be able to establish and maintain effective working relationships with doctors, clinical staff, other co-workers and the public.

  • Must be able to work individually as well as within a team.

  • Must be able to follow both verbal and written instructions.

  • Must be able to work a flexible schedule.

  • Must be able to respond with patience and understanding during stressful conditions related to patient health and emergent situations.

  • Must be able to multi-task and prioritize.

  • Must demonstrate extreme attention to detail.

  • Must possess strong organization skills.

  • Must be able to problem solve and use reasoning.

  • Must be able to meet predefined quality standards.

  • Must maintain and project a professional attitude and appearance at all time.

  • Must have a working knowledge of CPT and ICD-10 coding rules.

  • Must have a solid foundation of insurance knowledge and guidelines for third party payers.

  • Must have a working knowledge of the healthcare field and medical specialty, as well as medical terminology.

Preferred Qualifications:

  • Two (2) years' experience with motor vehicle insurance and/or Chiropractors office

  • Four (4) years experience working with an Electronic Medical Record (EMR).

  • Personal Injury or paralegal experience.

  • Prior experience in a supervisory/lead role.

Driving/Travel:

The employee must have reliable transportation. While the primary workplace may be closest to the employees home, work assignments could be in any of the Companys locations.
