Description of Job

About the Position

As the Permits and Customer Service Assistant you will provide receptionist support for Region5 for all internal and external customers in person and on the phone by staffing the front desk during business hours. This position will also provide technical and administrative support for all offices in the building, especially supporting the Permits unit as well as the Traffic unit.

Your duties and responsibilities will include, but are not limited to, the following:

  • Provide technical and operational support to the Permits Unit, including Access Permits, Utility Permits, Outdoor Advertising, and Fencing Agreements.

  • Greets visitors and notifies building staff of visitor arrival.

  • Facilitate customer service tracking and resolution, and maintaining procedures to coordinate, collect and monitor application information, digital and paper files.

  • Maintain professional and courteous standards in routing all inquiries

  • Maintains security by signing visitors in and out and referencing security cameras.

  • Answers phones for the building and answers questions or refers inquiries as appropriate.

  • Maintains the reception area, lobby, and conference rooms.

  • Sorts and distributes mail to building staff, prepares outgoing mail, and files paperwork.

  • Maintains office equipment and supplies.

  • Schedules conference rooms and reserves hotel rooms for staff.

  • Coordinates vehicle usage and maintenance including driving vehicles to and from trainings and events.

  • Serves as a Region 5 customer service representative.

  • Assists the Permits unit with digital archiving and filing, data entry, and other tasks as needed.

  • Assists Region 5 electricians with utility locate requests

  • May serve as a member of the R5 Events Committee and the Wellness Committee.

  • Other duties as assigned.

Work Environment:

  • Your schedule will primarily be 8:00 am - 5:00 pm work hours, Monday-Friday.

  • Frequent local travel is required during work hours to accomplish some of the essential functions of the position.

  • Required to drive CDOT fleet vehicles.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications

  • 3 years of general clerical experience which includes extensive experience providing customer service in person and over the phone

Substitution:

  • Completed coursework from an accredited college or university in Business Administration, Public Administration, Archival Studies, Library Science, Information Studies, Data Science, Digital Media, Communications, or another field of study closely related to the duties of this position will substitute for the required experience on a year-for-year basis. (30 semester hours is equivalent to one year of experience.)

  • Fluency in Microsoft Office Suite (Word, Excel, PowerPoint), Gmail and Google Applications, SAP, and the ability to quickly learn other software systems.
