This position will be responsible for supporting our Parts Department's efforts by responding to customer parts requests, processing quotations and orders, resolving order closeout tasks, and capturing data to track and enhance the Parts Department's performance.

Roles and Responsibilities:

First contact for receiving calls and emails for parts requests.

Utilize Hussmann Part's Oracle System to capture customer information and generate proposals.

Qualify customers for urgency and history of business transactions

Price and determine availability for requests and generate quotations

Process orders for shipments including complete entry of customer and transaction data to ensure correct recording of order.

Communicate and coordinate opportunities between Equipment Sales teammates.

Monitor and complete the Warranty Parts Order and Tracking.

Assist in the development of parts identification tools.

Work with the Category Manager to offer inventory stock suggestions to meet the customer needs.

Must be able to work in a fast paced environment, managing multiple projects and ability and have the ability to flex to the needs of the business, taking on additional duties as needed.

Required Experience

Qualifications and Education Requirements:

High School Diploma-College Degree Preferred

A minimum four years of business to business sales support experience.

Proficient in Word, Excel, Outlook, Adobe Acrobat, Internet Explorer.

Advanced verbal and written communication skills.

Ability to develop and maintain an organized and repeatable sales and ordering process.

Enthusiasm for customer service and has a sense of urgency. Ability to prioritize and reprioritize quickly.

Ability to thrive in a fast paced environment.

Hussmann or refrigeration product experience a plus.

Ability to travel (approx. 15% ) when needed.

PRIMARY PURPOSE OF POSITION: * Responsible to process all new business applications, act as first point of contact for customers, builders and electricians requesting new or upgraded services, set up new customer accounts, maintain customer records, create and maintain job folders from initiation through engineering and construction, perform material reconciliation/as-building of emergency work and planned jobs, perform all clerical functions in the district, enter and process time records, enter and process payment authorizations/vouchers, and resolve customer complaints as necessary. * Provide efficient customer service with both internal and external customers. * Position may be required to work extended hours, including 24 x 7 coverage during storms or other energy delivery emergencies. PRIMARY DUTIES AND ACCOUNTABILITIES * Provides efficient and courteous customer relations with both internal and external customers * Supports district in preparation, maintenance and coordination of district processes and records, including invoice payments, supplies, job closings, and monitoring and updating new service requests from initiation through provision of service, and final disposition of the construction job. * Serves as time administrator using eTime and ARCOS * Initiates and maintains district service requests and information using, but not limited to, CRM&B, ISU WMIS, Advantex, SAP, and GIS * Supports District Emergency Restoration efforts and Office Safety Inspections * Enforces company policies and procedures regarding district processes POSITION SPECIFICATIONS Minimum: Experience demonstrating skill: * performing general administrative duties simultaneously (for example filing, answering phones, making copies, faxing, sorting mail, sending mail, checking/responding to email). * operating office machines such as calculator, copier, computer, printer, fax machine, scanner, telephone, etc. * performing data entry into a computer. * resolving customer complaints and issues. * researching and interpreting customer information, work requests and/or applications. * communicating orally and in writing with others internal and external to the organization. * ensuring accuracy and being accountable for work (e.g., checking and verifying work). * performing mathematical calculations (for example, addition, subtraction, multiplication, division, percentages, averages). * using PC-based word processing, spreadsheet and email software. Ability and willingness to: * sit and input data into the computer for prolonged periods of time. * work overtime and during emergencies with little or no notice, as required. * work independently and accurately under tight deadlines. * prioritize and multi-task work. * travel to various locations as required. * adhere to safety regulations and policies as required. * maintain confidential information. * Must successfully pass a Criminal History Background Check * Must possess a valid driver's license.
