The People Operations Administrator is responsible for providing administrative and people services support to Learning Without Tears (LWT) employees regarding recruitment and onboarding, People Operations' information systems, record administration, employee events and programs, training and development, and office and facility administration, among other people services duties as assigned.

This position is hybrid, with an average of two days in the office per week in Cabin John, MD, and occasionally in Gaithersburg, MD.

What You'll Be Doing:

  • Assist the People Operations group with setting up interviews, training, and other meetings, as well as checking references or following up with candidates regarding background checks.

  • Enter data into information systems with attention to accuracy and time deadlines. Generate periodic reports as required.

  • Review incoming documents for adherence to established policies and procedures, including completeness of information and appropriate signatures.

  • Lead idea generation, planning, and coordination of a variety of company social and engagement events, as well as execute on established legacy events.

  • Coordinate electronic onboarding for new hire employees.

  • Assist the People Ops team in responding to inquiries pertaining to employment, benefits, policies and procedures, and various People Operations and LWT programs.

  • Respond to requests for forms, such as W-9s, sole source letters, etc., by completing forms accurately and sending them to the requestor.

  • File and maintain personnel files throughout the employee life-cycle.

  • Administer the charitable contributions program, including drafting communications, tracking and updating the spreadsheet, and processing donations.

  • Help streamline and document People Operations and facilities processes and procedures.

  • Responsible for overall office presentation and organization

  • Coordinate regular office and facility maintenance and housekeeping, including communicating with vendors & employees; serve as onsite point of contact for vendors

  • Maintaining inventory, procuring and organizing supplies, and providing onsite support for the Gaithersburg and Cabin John offices

  • Research and request bids for various facility renovations and projects as needed

  • Assist in the coordination of company training programs.

  • Perform other people services and facilities work as needed.

Your Experience & Qualifications:

  • B.A, B.S. in a business discipline is preferred; a high school diploma or equivalent is required.

  • 1 - 3 years related experience in Human Resources or People Operations.

  • Basic knowledge of federal, state, and local employment laws, rules, and regulations or an interest and initiative to learn.

  • Excellent verbal and written communication skills.

  • Strong organizational skills with the ability to handle multiple projects at once while completing quality work on time.

  • Experience and comfort working with sensitive & confidential information; exceptional ethics and judgment.

  • Ability to work independently and effectively within a remote team environment

  • Strong interpersonal skills in dealing with co-workers, applicants, vendors, and agencies.

  • Strong decision making skills.

  • Experience with personnel/payroll systems.

  • Expertise with MS Office.

  • Excellent service orientation.

  • Excellent attention to detail.

  • Ability to lift up to 20 lbs. and at times, ability to bend, stretch, and use arms and hands to reach, lift, and post.

  • Ability to travel approximately 5% of working time.
