Job Summary

Performs duties within the Payroll Department to prepare employee payrolls for multiple FEIN's, including Canadian Payrolls, in accordance with established procedures. Payroll Specialist also handles various other payroll responsibilities, including but not limited to, account reconciliations, taxable fringe benefit processing, JE importing and balancing and multi-state garnishment handling.

Essential Functions

  • Responsible for processing employee payroll(s) and completing all required functions and steps. Some of these tasks include:

  • Importing Kronos batches and inputting special pay batches from various sources.

  • Maintain Kronos time clock systems with schedules, interfaces for other programs, and importing information for the ADP (EV6) system.

  • Updating direct deposit, federal, multi-state and local tax withholdings and Time Labor Management Panels for the employee record.

  • Running special payrolls to accommodate stock, commissions and bonuses (as needed).

  • Preparing off-cycle pay card requests as required for termed employees, commissions, bonuses, job changes.

  • Once payroll preview has been processed; complete a final audit review of data; update payroll processing checklist and prepare next payroll for processing

  • Ensuring all Payroll related Sarbanes Oxley (SOX) and PII Key Controls are followed consistently and accurately.

  • Monitor upcoming payroll related changes for accuracy and ensure all proper approvals have been submitted.

  • Performs other processes. Some examples include:

  • Employment verification

  • Taxable Fringe Benefits

  • Customer service for employees/managers (ie Timecard and paycheck trouble shooting)

  • Report generation & distribution

  • Tax agency communication as needed including additional reporting required.

  • Strong team-player.

  • Provides excellent customer service which includes inquiries from HR Business Partners, Managers and employees.

  • Ensures both company and department policies and procedures are followed.

  • Excellent problem-solving skills to ensure efficient and accurate work. Offering to help with teammate's workloads as needed.

  • Lives company values.

  • Performs all other duties as assigned.

  • Bilingual is a highly preferred skill for this position (Spanish)

General Requirements:

  • May need to work scheduled holidays to maintain customer service level.

  • May be required to work overtime sometimes to process a timely payroll.

  • Must be flexible and able to adapt to a change in responsibilities.

  • Works scheduled hours and is ready for work at scheduled start times, notifies Manager prior to absences or tardiness in accordance with company policy.

Qualifications

Knowledge, Skills and Abilities:

  • Bilingual is a highly preferred skill for this position (Spanish)

  • Demonstrated proficiency in MS Office, specifically Outlook, Word and Excel

  • Ability to work collaboratively with all levels of the organization

  • Ability to communicate in a professional manner both in written and verbal format

  • Ability to translate complex information into an easily understood summary

  • Demonstrates great attention to detail and is organized

  • Demonstrated ability to provide excellent customer service

Work Environment:

  • Normal office environment; Sitting >75%; Finger/wrist dexterity >75%

Experience:

  • A minimum of two years' experience with payroll record keeping systems, preferably ADP and UKG. Canadian payroll and accounting experience a plus.

Education:

  • Associate degree preferred

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $47,216 and $57,283 per year and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
