We are looking for a detail oriented Payroll Specialist for our Orlando office who will focus on various payroll processing activities for internal PlanSource employees. The is a key position in the HR Department and will have direct impact on our rapidly growing organization. Additionally, we are looking for innovative ways to continuously automate and more efficiently manage workflows that relate to payroll and other HR functions.

About the Payroll Specialist Position

As a Payroll Specialist, you will be responsible for providing PlanSource with quality service regarding payroll, compliance, benefit, management reports and any general questions. We are looking for someone who possesses a "You Got It" attitude, that is ready to roll up their sleeves to crunch numbers with great attention to detail and provide guidance and recommend solutions to other team members.

In more detail, you will:

  • Perform Payroll on a biweekly basis utilizing UltiPro; ensuring all changes and items are approved and processed timely and accurately

  • Complete supplemental payrolls and void/reissue checks as needed

  • Ensure taxes are set up correctly by state for new hires

  • Assist in creating SOP Documentation (standard operating procedures) to build the HR library

  • Manage the StratusTime timekeeping system for all hourly employees

  • Responsible for understanding PTO accrual benefits and confirming accuracy

  • Preparation of reports and special requests as needed

  • Responsible for working and communicating with multiple internal departments to ensure needs are met

  • Communicate suggestions regarding UltiPro product and service enhancements

  • Add new earning and deduction codes as needed

  • Process all garnishment and child support orders including completing necessary paperwork and setting up deductions accordingly

  • Complete verifications of employment

  • Update worker's compensation rates as needed

  • Work with Accounting department on employee DDA rejections

  • QA all employee FMLA paperwork including employee deductions and ensure accuracy for repayments

  • Verify all monthly 401k changes including new enrollments, changes and loans

  • Complete process efficiency projects as needed

  • Complete year-end process including reports as needed

  • Ensure short-term disability paperwork is processed per benefit carrier's specifications for proper processing, add 3rd party sick pay for payroll as needed

  • Act as back-up for office administration items when needed

  • Complete job-related training courses and/or seminars, as may be required for the job and/or assigned by Manager.

  • Any additional duties deemed necessary by Management

About You

This role is all about ensuring that PlanSource's needs are met with enthusiasm and a positive attitude. You must have mean organizational skills and a high attention to detail. You can keep many balls in the air at one time, can handle multiple priorities and work well with short deadlines. Knowledge regarding general benefits, payroll, Human Resource compliance information is a critical necessity.

In addition, your qualifications/abilities include:

  • Bachelor's Degree

  • 3 years Payroll experience in multi-state environments

  • Working knowledge of payroll best practices

  • Strong knowledge of federal and state regulations

  • Experience utilizing Ultimate Software web and back office a plus

  • FPC or CPP Certification a plus

  • Advanced and demonstrated ability to use a range of productivity software: i.e. Word, Excel

  • Excellent organization and prioritization skills

  • Excellent verbal and writing skills

  • Willing and able to adjust to multiple demands, shifting priorities and demonstrate flexibility

  • Strong customer service orientation

  • Proficiency with Microsoft Office

  • Must be able to work outside of normal work hours when required*

  • Must have high level of interpersonal skills to handle sensitive and confidential situations

This position requires a high degree of accuracy and a diligent use of data management when using internal information systems while assisting with payroll processing within Red Lobster's internal Payroll Services Department. The Payroll Specialist also supports final pay processes, updates records, and answers questions from internal customers (e.g., employees, leaders). Essential Duties and Responsibilities: * Answer calls and emails into Payroll Services Department courteously, make needed changes and input requests into a call tracking system; * Use information systems and processes to assist coordinators in producing accurate payments for field employees (e.g., Operations) in the United States and Canada on a weekly basis; with guidance from supervisor ensures that payments follow applicable federal, state, and local legal requirements related to payroll (e.g., tax regulations, wage and hour laws); * Process special payments and non-standard payments to employees, including final pays, ensuring that taxes, deductions, and overrides are calculated and withheld accordingly; may pay-out termination penalties in applicable states, as required; * Minimize risk to Red Lobster by advising Operations Leaders on pay processes (e.g., final pays) by applying federal, state, and local laws and regulations; * Provide exceptional customer service by responding to customers' questions and concerns; * Successfully complete special tasks; * Process payroll reports and respond to internal inquiries regarding payroll; analyzes data in information systems to identify problems/issues and make corrections; * Gain familiarity with payroll processes and procedures in the United States and Canada; * Serve as a back-up to other members of the team; * Keep payroll and personnel information strictly confidential.
