Position Summary:

Responsible for performing aspects of payroll processing for Urbn Leaf employees on a bi-weekly basis. Ensures payroll expenses and taxes are paid correctly and on time. Computes employees' time worked, production, tips and mileage, etc. May compute and post wages and deductions or assist in the preparation of paychecks. Ensures payroll department, functions, policies and practices are developed and consistent to accommodate rapid company expansion. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Maintains payroll information by directing the collection calculation and entering of data.

  • Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts.

  • Prepares reports by compiling summaries of earning, taxes, deductions, leave, disability and nontaxable wages.

  • Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes and employers' social security, unemployment and workers' compensation payments.

  • Maintains payroll guidelines by writing and updating policies and procedures.

  • Complies with federal, state and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.

  • Ensures adherence to wage and hour laws for multiple locations/municipalities.

  • Balances payroll accounts by resolving payroll discrepancies.

  • Maintains employee confidence and protects payroll operations keeping information confidential.

  • Critically reviews and analyzes current payroll, benefits and tax procedures, makes recommendations and implements changes leading to best-practice operations.

  • Audits W-4s, payroll balance sheets, YTD earnings, etc.

  • Communicates effectively with Operations, HR and Accounting to reconcile data as required.

  • Ensures systems are updated to reflect our current employee base, including wages, benefits, sick and vacation time in line with contracts (union and/or non-union).

  • Compiles payroll data such as garnishments, vacation time, sick time and insurance.

  • Polls electronic time clocks and reviews the downloaded information for completeness and accuracy.

  • Contacts various department supervisors for any missed times.

  • Processes weekly/bi-weekly transfer of payroll data to company payroll system.

  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.

  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.

  • Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer's social security, unemployment, and workers compensation payments.

  • Streamlines payroll processes using lean management techniques.

Qualifications:
7+ years' experience as payroll manager performing payroll function in high volume, multi-location, multi-state establishment.

  • Knowledge of cannabis operations preferred but not required.

Requirements:

  • Extensive knowledge of payroll systems, procedures, taxes and related laws.

  • Highly analytical with excellent communication skills (written and verbal).

  • Excellent organizational and leadership skills.

  • Must be motivated and comfortable working in a team environment.

  • Must have the ability to:

  • Remain calm and resolve problems using good judgment

  • Works cohesively as a team with co-workers

Education:

  • Bachelor's degree (BA/BS) from a four-year college or university with degree in Business Administration, Human Resources or related field is required.

  • Professional certificate in HR is a plus.

Certificates, Licenses and Registration:

  • Valid California Driver's License

  • Valid vehicle registration

  • Valid vehicle insurance

Physical Requirements:

  • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

  • Must be able to stand/walk for up to 2 hours at a time.

  • Must be able to sit for up to 6 hours at a time.

  • Must be able to lift at least 20 pounds safely and properly.

  • Ability to work in a stressful, fast-paced environment.

  • Must be able to work days, nights, holidays and weekends.
