Payroll & Equity Compensation Manager

Position Summary
Annexon Biosciences is seeking a Payroll & Equity Accounting Manager who will be responsible for the full payroll function, including equity-based compensation, as well as developing and strengthening internal controls and processes related to payroll and equity. This role will be responsible for managing the Company's equity compensation process, including option grants, restricted stock units and the employee stock purchase plan. The candidate will be responsible for the day-to-day operations and transactions as well as month-end accounting close as related to payroll and equity. Ideal candidates will have a background working on both payroll and equity management in the biotechnology industry and the ability and desire to work in a fast paced and dynamic environment. This individual will work closely to support all employees and across various functions including HR, Legal, payroll/benefits provider, transfer agent, broker, and auditors. The ideal candidate will possess a combination of technical expertise, attention to detail, and collaborative spirit to succeed in this dynamic role.
Responsibilities
Responsible for ensuring accuracy, compliance, and timely processing of semi-monthly and off-cycle payrolls for employees located in multi-state locations
Review and process transactions including benefit changes, special compensation, other adjustments
Coordinate with HR to process new hires, terminations, leave of absence, and other payroll-related changes
Address employee inquiries and resolve payroll and equity related issues in a timely and professional manner
Ensure compliance with internal controls, federal/state/local requirements, deadlines
Manage regulatory filings, notices, audits, and other communications from federal and state agencies
Work with payroll vendor on system administration, maintenance, reporting needs.
Manage, reconcile, and report on employee benefit programs, including 401(k) and FSA, and work with service providers to resolve inquiries and/or provide employee training
Prepare journal entries, payroll and benefit reconciliations, and assist with quarterly reporting and external financial audits
Ad hoc projects including compensation research for annual compensation process and employee changes, board reports
Manage all aspects of equity compensation programs, including stock option grants, restricted stock units (RSUs), and employee stock purchase plans (ESPPs)
Process equity transactions, exercises, cancellations, and releases accurately and in a timely manner
Track and report equity-related income, tax withholdings, and employee stock ownership
Execute trading blackout periods and enforcement of insider trading policy restrictions
Manage open enrollment process and purchases for ESPP including monitoring limits
Liaise with external vendors, transfer agents, and brokerage firms to facilitate equity transactions and resolve issues
Prepare journal entries related to equity and stock-based compensation expense, reconciliations, and assist with quarterly reporting and external audits
Identify opportunities to streamline payroll and equity compensation processes, improve efficiency, and enhance controls
Develop and document standard operating procedures (SOPs) for payroll and equity administration tasks
Key Qualifications
Bachelor's degree in accounting, finance, or related field
7+ years of experience in payroll administration and equity compensation management
Experience working in a fast-paced environment, preferably within the biotechnology industry
Strong understanding of payroll regulations and compliance requirements
Proficiency in payroll software and equity compensation platforms
Excellent analytical and problem-solving skills
Ability to maintain confidentiality and handle sensitive information
Ability to clearly communicate verbally and in writing
Strong attention to detail and accuracy in work
Certified Payroll Professional (CPP) or Certified Equity Professional (CEP) designation
Experience with ADP WFN, Computershare, Certent, Fidelity and NetSuite preferred
Excellent communication and interpersonal skills
Ability to work effectively both independently and as part of a team
Professional, responsive and customer-focused working relationships
Advanced proficiency in Microsoft Excel for data analysis and reporting
Working knowledge of US GAAP, SOX, and SEC reporting requirements
Proven track record of process improvement and documentation

Compensation
The anticipated starting salary range for the Payroll Equity Manager position is $140,760 - $156,400 per year. The starting salary range for the Senior Payroll Equity Manager position is $165,686 - $184,096 per year. The starting salary for this position will be determined based on the candidate's education, experience, transferable skills, licenses/certifications, location, and will be reviewed on a case-by-case basis to determine the final compensation. The starting salary does not include any other potential components of the total compensation package, including bonus, equity, employer provided benefits, and perks.
