This position is assigned to Cheyenne Mountain ReEntry Center. This position serves as the timekeeper. Compiles payroll data to complete payroll cycles and maintain payroll, KRONOS, and leave records.
Primary Duties and Responsibilities
Serves as the timekeeper and manages the KRONOS system.
Reconciles PTO based on available balances; entering exceptions and missed punches; keep track of attendance records; monitor lateness/absence/manual misses punches and address with supervisor; ensure missed punch/exceptions are completed out completely including signatures.
Manage all leave records i.e., Worker's Compensation, Application for Leave (FMLA, Personal), and provides employees with information regarding the process of Worker's Compensation and Application for Leave, and Military leave. Tracks all leave taken.
Submits updated W4 changes and Direct Deposit to Corporate Payroll and provides Facility Human Resources with a copy for the Personnel file.
Provides KRONOS training to employees and enrolls employees in the KRONOS Biometrics.
Compiles and gathers information for various reports i.e., Overtime, Labor levels, staffing, etc. for management team as requested.
Creates a Facility Operating Procedures (FOP).
Develops and maintain files for employee payroll records.
Prepares Pay Period Adjustment (PPA) and submits to Corporate Payroll for processing. Makes arrangements to deliver checks to employees in a timely manner.
Answer questions as it relates to W4, Direct Deposits or Direct Deposit Card, ADP, Miscellaneous deductions, etc.
Order, maintain and inventory office supplies for the facility and initiates larger purchase requisitions through corporate headquarters.
Compiles payroll data such as hours worked, time tracking, etc.
Works with Payroll office to assist employees with questions regarding taxes, insurance, and garnishments, and employee identification number, from time sheets and other records.
Prepares computer input forms, enters data into computer files, or computes wages and deductions and provides records to Corporate payroll to process.
Reviews wages computed and corrects errors to ensure accuracy of payroll and submits to Corporate for corrections.
Provides Corporate with records changes affecting net wages such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records.
Prorates expenses to be debited or credited to each department for cost accounting records.
Prepares periodic reports of earnings, taxes, and deductions.
Keeps records of leave pay and nontaxable wages.
Prepares and issues paychecks.
Comply and interpret federal, state, and company policies, procedures, and regulations relating to payroll.
Keeps accurate records for compliance audits; meets with compliance auditors.
Facilitates special projects as directed by management.
Performs other duties as assigned.
High School diploma or GED certificate.
Two (2) years of progressive experience in a clerical or payroll capacity. Working knowledge of payroll procedures. General clerical aptitude.
Excellent communication and writing skills in a professional manner.
Excellent organizational skills.
Ability to understand and carry out moderately complex oral and written instructions; to make minor decisions in accordance with rules and regulations as they apply to work problems; to maintain company records; and to meet and deal effectively with employees and residents.
Must be able to deal with people in a variety of changing and complex situations.
Ability to prepare written reports.
Ability to work with computers and the necessary software typically used by the department.
