Were looking for an experienced Payroll and Accounting Assistant to make sure that all of our faculty and staff receive on-time paychecks and understand their wages thoroughly. We will rely on this person to audit and verify all time keeping records of employees hours worked as well as any deductions or withholdings required to comply with state and federal law. We also need a professional who is willing to work cross-departmentally with accounting to ensure the entire business runs as smoothly as possible.
Essential Duties and Responsibilities:
Follow established guidelines, policies, and procedures in performing monthly payroll processing and balancing for several departments
Verify timekeeping records and consult employees about any discrepancies
Confirm and enter taxation status and withholding in payroll system for new employees and update as required for existing employees
Assist employees with payroll questions, timecard issues, and payroll systems training as needed
Remain current on regulatory rulings and ensures compliance with federal, state and local payroll related requirements
Collaborate with HR to ensure accurate records of payroll by carrying out regular system updates in areas like timecard corrections, status changes, benefits deductions, time off accruals, and tax withholdings and employee information
Collaborate with HR and accounts payable on efficiencies and internal processes, as needed
Support accounts payable with processing invoices
Assist controller and assistant controller with accounting and administrative related projects
Additional payroll related support and assignment by Finance department
Knowledge, Skills, and Abilities:
Strong knowledge of federal and state payroll related rules and regulations
Proven ability to effectively and accurately process payroll for an organization with over 300 employees
Experience in using web-based HR/Payroll processing software is a plus
Proficient in Microsoft office suite with an emphasis on Excel skills
Professional communication (oral & written) and interpersonal skills
Attention to detail a must
Ability to manage multiple priorities accurately while meeting deadlines
Ability to professionally interact with a diverse blend of personalities
Ability to consistently demonstrate a professional, respectful demeanor
Experience, Education, and Certification:
College degree in Accounting or business
5 plus years of payroll assistant experience
Accounting experience preferred
This position reports to Payroll manager within the finance department. Other tasks outside of the payroll function may be assigned and it is essential to be able to adjust and learn new responsibilities quickly and efficiently.
You need to be a team player and be able to work with others in a harmony.
