This role provides customer service to faculty, staff and students who visit or call Payroll and Employee Services (PES) for assistance. Ideal candidates will enjoy serving the public, appreciate diversity and applying on the spot problem solving. This critical role is often the first contact employees have with the university after they receive a job offer. Professionalism, courtesy and organization are keys to success. The Staff Assistant II provides assistance with the submission of the new employee packet and ensures all documents are completed and correct. PES has significant phone and walk-in traffic where careful listening skills are required to identify concerns and evaluate situations for proper referral or procedure. The Staff Assistant II is required to remain at the front desk for most of the day with the exception of breaks, lunch and imaging responsibilities. The Staff Assistant II assists with the compliance of records retention guidelines by scanning, quality controlling and indexing imaged payroll documents. Time off must be scheduled in advance.

Required Education: GED/High School Grad OR an equivalent combination of education/job related experience, AND:

  • 6 - 12 months office/clerical experience.

Skills:

  • Basic computer skills

  • Ability to multi-task and problem solve

  • Performs oral or written tasks requiring knowledge of grammatical structure, vocabulary and formats.

  • Addition, subtraction, multiplication, and division using whole numbers, fractions, decimals, and/or percentages.

  • Proficient in Microsoft Word and Outlook.

  • The successful candidate is a personable and friendly person who enjoys meeting the public and providing excellent customer service.

  • Multi-line phone experience.

Certifications:

  • None.

Advertised Physical Requirements:

  • Must be able to engage in repetitive motions, speak, including expressing oneself or exchanging information with others; see, including color, depth perception and clarity, and hear including receiving detailed information orally.

Departmental Preferences:

  • Experience with Microsoft Office Suite.

  • Experience with complex filing systems.

  • Knowledge of basic HIPAA records handling standards.

  • 12 months experience as a receptionist.

  • Experience working in Payroll.

  • Experience in front line customer service.

  • Experience with I-9 form review.

  • Experience with PeopleSoft.

  • Experience with Laserfiche.

Supervision: No Supervisory Duties

We are seeking an individual that will assist our clients in processing timely and accurate payroll in accordance with federal, state, and local statutes. The Payroll Specialist consults with clients on best payroll practices and proactively researches compliance and tax issues. This position provides initial and on-going system training and troubleshooting to new and current clients. </p><p><strong>Job Responsibilities:</strong></p><ul> <li>Processing a variety of documents related to employee hires, terminations, garnishments and levies, and various benefit entitlements.</li> <li>Coordinates with clients daily to obtain payroll data including salary adjustments, special payments, tax allocations and employee deductions and to set schedules.</li> <li>Supports and assists clients in the administration of their payroll, including troubleshooting Nextep's payroll system, web platform, timekeeping system and onboarding system as needed. </li> <li>Maintains a high rate of client retention through quality service. </li> <li>Provides and recommends clients with reporting as needed. </li> <li>Responsible for building and maintaining Paid Time Off policies within Nextep's payroll system and timekeeping system, in accordance with the policy outlined in their Nextep-provided handbook. </li> <li>Keeps abreast of changes and updates within the payroll processing system to be efficient in duties, to maximize use for client benefit and to be able to research and resolve client questions and system discrepancies.</li> <li>Advise clients on wage and tax laws as it pertains to the administration of payroll.</li> <li>Assists in development of overall payroll procedures by recommending improvements or changes when deemed necessary for greater efficiency.</li> <li>Ensures compliance with regard to all local, state, and federal regulations and laws.</li> <li>Supports the Payroll Team Lead with the implementation of any process changes or projects designated by the Payroll Supervisor. </li> </ul><p><strong>Requirements</strong></p><p><strong>Position Requirements:</strong></p><ul> <li>Bachelor’s Degree from a four-year college or university preferred.</li> <li>1 to 2 years of related experience and/or training; or equivalent combination of education and experience.</li> <li>Proficiency with Microsoft Office programs.</li> <li>Detail oriented with the ability to multi-task and prioritize work.</li> <li>Flexible and adaptable, able to work under pressure and handle highly sensitive issues.</li> <li>Excellent interpersonal, communication, and customer service skills with the ability to handle sensitive employee issues in a highly confidential manner.</li> </ul><p><strong>Benefits</strong></p><p>Nextep is extremely committed to the success, development, and long-term engagement of our employees.
