  • Processing in payroll for an average of 300-500 employees on a bi-weekly basis, multi-state, for both salaried and hourly employees

  • Exercise review and verification of source documents

  • Payroll record maintenance by tracking changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers

  • Protect confidential payroll operation information and maintain employee confidence

  • Handle specific weekly, monthly, quarterly, and year-end reports for department heads

  • Handle reconciliation of employee deductions and other relevant liabilities

  • Detail all payroll liabilities by establishing employee federal and state income and social security taxes and employer social security, unemployment, and worker compensation payment

  • Resolve payroll discrepancies via information collection and analysis

  • Deliver assistance to payroll with internal and external audits

  • Report changes where necessary after maintaining payroll operations via company policies and procedures

  • Produce reports after compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages

  • Miscellaneous duties as assigned

  • Managing payroll information by keeping proper records for collecting, calculating, and entering data

  • Answer questions and requests related to payroll information

  • Certify compliance with federal and state regulations and guidelines The ideal Payroll Administrator will have at least 6 months of payroll or HR experience, with previous exposure to a payroll software (exm: ADP, ADP WorkForce Now, Paychex, etc), as they are going thru an implementation of Paylocity.   • At least 6 months experience in payroll or HR

  • Certified Payroll Professional designation preferred, but not required

  • Proficiency in Microsoft Office

  • Knowledge of federal and state payroll regulations and requirements

  • Previous experience handling high volume multi-state payroll is preferred, however, open to candidates that can do well in a fast paced environment

  • Accurate, swift, data entry abilities

  • ADP or Paylocity experience preferred, however, open to tech savvy candidates

  • Proven analytical skills - defining problems, collecting relevant data, drawing valid conclusions, and recommending improvement/corrective actions

The San Jose site has approximately 1,000 associates of mixed manufacturing, field-based sales and service, and head-office/executive functions. This role requires independent action and initiative to handle issues as they arise, prioritize accordingly to urgency and remaining calm and professional under pressure. Effective and clear communication to broad groups of associates, including senior executives, is a critical component of this position.
