The Payroll Administrator position is a long term temporary opportunity based in SE Portland. Your responsibilities in this role

  • Retrieve and assess information in order to resolve payroll discrepancies

  • Reviewing and verifying source documents

  • Secure confidential payroll operation information and maintain employee confidence

  • Ensuring compliance with federal and state regulations and guidelines

  • Providing payroll information by answering questions and requests

  • Put together for department heads the circulation of weekly, monthly, quarterly, and year-end reports

  • Managing payroll information by keeping proper records for collecting, calculating, and entering data

  • Organize and compile summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages in order to draft relevant reports

  • Understand and report necessary changes to payroll operations by maintaining established policies and procedures

  • Provide help with all internal and external audits of payroll

  • Maintain all updates of payroll records by tracking changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers

  • Reconciling of employee deductions and other liabilities

  • Determining payroll liabilities by calculating employee federal and state income and social security taxes and employer social security, unemployment, and worker compensation payments


  • Command of Microsoft Office with strong Excel skills

  • Solid understanding of in-house payroll

  • Payroll for over 500 employees experience

  • Union payroll experience

  • Expertise with internal controls

  • Mastery of federal and state payroll regulations and requirements

  • Strong analytical skills, accuracy and attention to detail

  • Data entry, document management, file creation and previous records experience required

  • Certified Payroll Professional will be given preference

  • Prior experience working with high volume multi-state payroll, billing, licensing, AP, etc.

  • Prior experience working with accounting software conversions

  • Well-informed in basic accounting principles and solid financial acumen

Ensures compliance with all global, regional, and store Standard Operating Procedures. Job Responsibilities: * Performs payroll data entry in Kronos including timekeepers, mis-punch corrections, and labor transfers. * Approves PTO requests in Workday and performs weekly audits to ensure PTO alignment with regular hours and accurate and proper payment to Team Members. * Responds in a timely manner to payroll inquiries, garnishments, loan verifications, and similar requests. * Sets up and maintains personnel and other employment files; ensures accuracy, compliance, and confidentiality. * Completes, processes, and stores all applicable paperwork relating to new hires, job dialogues, leaves of absence, workers compensation, and other personnel related actions. * Creates and posts job requisitions and manages candidates through the applicant tracking system; includes: extending offers, initiating background checks, processing hires, and dispositioning candidates. * Performs transactions in Workday relating to hires, job changes, transfers, terminations, etc. * Ensures timely completion of all new hire I-9s and any recertifications as needed. * Regularly runs audit reports in Workday to help manage Team Member benefit deadlines, Team Leader approvals, outstanding on-boarding tasks, etc. * Assists Team Members with payroll and benefits related questions, troubleshoots issues as needed. * Educates Team Members on Workday and its usage related to time off requests, benefits enrollment, etc. * Assists store leadership with ensuring timely completion of all workers compensation paperwork. * Maintains strict confidentiality on all aspects of the job. Job Skills: * Ability to follow directions and established procedures. * Strong time management skills and the ability to prioritize tasks. * Excellent written and verbal communication skills. * Self-motivated. * Familiarity with HIPAA. * Familiarity with workplace labor laws (i.e. FMLA, ADA, FLSA). * Proficient in Microsoft Office suite applications (Outlook, Word, Excel). * Working knowledge of HRIS and / or timekeeping systems (Workday and Kronos). Experience: * 6-12 months retail experience. Physical Requirements / Working Conditions: * Ability to work a flexible schedule including nights, weekends, and holidays as needed.
