Located in Philadelphia, Pennsylvania, the Payroll Administrator is a long term temporary-to-fulltime role. Your responsibilities in this role

  • Handle payroll discrepancies through information collection and analysis

  • Providing payroll information by answering questions and requests

  • Put together summaries of employer social security, unemployment, and worker compensation payments and employee federal and state income and social security taxes to calculate all payroll liabilities

  • Reconcile employee deductions and other liabilities as needed

  • Organize and compile summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages in order to draft relevant reports

  • Certify compliance with federal and state regulations and guidelines

  • Handle payroll record updates by keeping changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers

  • Maintaining employee confidence and protecting payroll operations by keeping information confidential

  • Supporting all internal and external audits related to payroll

  • Proper payroll information maintenance by collecting, calculating, and entering data

  • Reviewing and verifying source documents

  • Handle specific weekly, monthly, quarterly, and year-end reports for department heads

  • Other duties as assigned

  • Preference will be given to Certified Payroll Professional

  • Expertise with internal controls

  • Payroll experience desired

  • ADP Workforce Now experience preferred

  • Relevant experience of 2+ years in payroll

  • Proficient knowledge of basic accounting principles and solid financial acumen

  • Strong analytical skills, with the ability to exercise good judgment and make decisions based on accurate and timely analysis

  • Experience using accounting software

  • Experience with high volume multi-state payroll, billing, licensing, AP, etc.

  • Proficiency in Microsoft Office with strong Excel skills

  • Understanding of federal and state payroll regulations and requirements

  • Data entry, document management, file creation and previous records experience required

Summary The Sr Payroll and Expense Coordinator is responsible for assisting in the day-to-day completion of all payroll functions including the timely and accurate preparing of a multi-state, bi-weekly payroll for exempt and non-exempt employees for a fast and growing company. This role reports to the Payroll and Stock Administration Manager and works very closely with Finance team members, in addition to the Human Resources team. Duties include administration of time and attendance system, ability to create reports, preparation and calculation of exception items such as bonuses, garnishments, terminations, commuter expense reports and tax adjustments. Ability to remain current on all compliance and updates for all employee and employer tax withholding and reporting. Will have a supporting role for travel and expense including auditing, oversite and communication using Concurs Travel and Expense System. Responsibilities 50% * Manage, maintain and update employee payroll data within ADP payroll system supported by ADP Data Bridge and SAP SuccessFactors. * Assist in preparing, reviewing and processing multi-state payroll on a bi-weekly basis * Maintain ADP Validation Tables, GL Data and Cost Centers * Process and reconcile employee deductions, reimbursements, 401K, Exercised Stock, etc. * Submit contribution files to HSA, FSA, and 401K vendors * Research, setup, update ADP deduction codes * Maintain and Adhere to all Sox compliance rules and regulations * Run and create ADP ad hoc reports as needed * Assist employees with payroll related questions and issues in a timely and confidential manner 35% * Review, reconcile and approve Commuter Reimbursements * Responsible for tracking, communicating and collecting employee receivable payments 15% * Monitor tax setups, compliance filling and reporting requirements.
