Primary Purpose of Position:  

The Patron Processing Supervisor is responsible for unit supervision of three patron processing assistant positions; overseeing front desk scheduling and filling in as needed to handle and route incoming calls. This position oversees the maintenance and ensures the accuracy of the patron database and local updates to the national Patron Information Machine Maintenance System (PIMMS), ensuring that unit operations conform to state and national requirements. This involves analyzing data routinely and troubleshooting. This position is also responsible for overseeing the digital patron application file storage; and other unit duties such as compiling statistics. This position also assists in providing prompt, accurate reader advisory and basic reference service in a cooperative team environment.

Key Responsibilities:

  • Supervising three full-time patron processing assistants; providing direction, performance evaluations, recruiting and hiring new patron processing assistants when vacancies occur, and collecting monthly statistics on unit activity.

  • Establishing unit schedules for various functions (e.g. front desk schedules, phone duty schedules, and patron account processing schedules).

  • Answering telephone calls from patrons per daily schedule, assisting walk-in patrons as needed.

  • Using Keystone Library Automated System (KLAS) which includes reader profiles and library collection information.

  • Distributing mail to patron processing assistants for daily processing (e.g. patron applications and patron book orders).

  • Updating patron accounts in automated system.

Position Requirements:

  • Must be able to lift 20 pounds with or without an accommodation.

  • Valid NC Driver's License or have the ability to obtain to drive a state vehicle.

Qualified candidates must have or be able to:

  • Demonstrated experience with using Keystone Library Automated System (KLAS).

  • Demonstrated experience in Microsoft Office Suite software (Outlook, Teams, Word, Excel, PowerPoint).

  • Demonstrated experience training others on how to use specialized software applications.

Management Preferences:

  • Demonstrated skills in communicating effectively both orally and in writing with customers and staff.

  • Demonstrated experience working in a library or bookstore.

  • Demonstrated knowledge of best practices for working with disabled populations

  • Demonstrated ability to adjust workflows and implement new processes in a changing environment.

  • Demonstrated knowledge of library and/or book-related software.

  • Demonstrated ability to prioritize and manage multiple projects simultaneously.

  • Ability to speak Spanish.

  • Demonstrated experience in customer service.

High school diploma or General Educational Development (GED) diploma.

AND

Four years of progressively responsible administrative/office management experience, including one year as a lead worker; or equivalent combination of education and experience.

Accessible Books and Library Services (ABLS) provides library programs and services to North Carolinians who cannot read standard print due to a visual or physical disability. SLNC ABLS is a part of the network of regional libraries operated by the Library of Congress National Library Service for the Blind and Physically Handicapped (NLS) that performs the functions of a public library. The library circulates 800,000 volumes annually to over 12,000+ eligible patrons through special deposit collections in libraries, hospitals, rest homes, and other institutions and the direct delivery of specially designed playback equipment and books and magazines in large print, Braille, and audio formats to individuals directly free of charge via U.S. Mail.
