The Office of Clinical Services (OCS) at the School of Dentistry encompasses the Patient Registration and Patient Relations offices, Simulation Clinic and Labs, Central Sterilization, two dispensaries, and facilities maintenance team. OCS supports the operations of 13 dental clinics in delivering dental care to the state's largest and most diverse patient population. We utilize a team-oriented approach and work very hard to delight our patients. The Office of Clinical Services has an outstanding opportunity for a Temporary, Full-Time Patient Services Specialist 2 in the Patient Registration Office. The individual in this role processes incoming referrals, schedules patient appointments, obtains and verifies demographic and financial information through the preregistration process, completes patient registration by obtaining consent for dental care and financial agreement, processes patient paper work, triages patient telephone calls to staff, verifies demographic and financial information, and coordinates care with course directors, students, and clinic personnel.

Under general supervision and using School of Dentistry and UW processes and procedures, the Patient Services Specialist 2 performs specialized clerical and technical duties to facilitate the delivery of patient care.

DUTIES & RESPONSIBILITIES:

  • Provide information about care options available in the Third Year Student Clerkship Clinic, Fourth Year Student General Practice Clinic, Specialty Graduate Clinics and Faculty Practice Clinic.

  • Obtain necessary information in order to coordinate admission into care at the School, process referrals and if necessary triage to Specialty Graduate Clinics and/or Urgent Care.

  • Inform patients of financial responsibilities, insurance coverage and patient expectations, send correspondence to patients regarding their appointments and becoming a patient of the School.

  • Coordinate patient care through the pre-registration process, while maintaining the confidentiality of patient and student information.

  • Schedule patient screening and diagnostic radiograph appointments, follow-up appointments and continued care appointments. This includes the scheduling of recalls, surgeries, post-operative care, and evaluations by matching patient treatment needs to student's educational requirements.

  • Assist in clinic schedule preparation and maintenance for student providers.

  • Monitor the treatment progress of patients and ensure referrals are monitored and processed. Respond to patient questions about referrals to clinics within the school, appointments, and disposition of care.

  • Work directly with Course Directors regarding patient treatment concerns.

  • Handle patient emails, dental records, and telephone calls with a high level of professionalism.

  • Recommend process improvements to existing policies and procedures.

  • Develop and generate patient correspondence to patients about treatment and services for all Clerkships.

  • Intake patient concerns presented by telephone-resolve customer service concerns and non-clinical issues; notify Patient Relations of all resolved and pending patient issues. Work with Patient Relations Manager to review and resolve concerns in a timely manner.

  • Interpret School of Dentistry policies, procedures, and services to patients and patient's representatives.

  • Perform related duties as required.

MINIMUM QUALIFICATIONS

  • High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience OR equivalent education/experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
