Responsibilities*

Advanced MiChart responsibilities

  • Maintain responsibility for MiChart grids as directed

  • Manage complex billing and referral work queues

  • Template editor, including provider template submission & changes

  • MiChart Reporting functions; ability to run MiChart reports and analyze as needed

  • Oversee assigned MiChart In-Basket

  • Same Day / Next Day Pager

  • Coordinate faculty schedules

  • Help maintain Resident staffing schedules

  • Help maintain up-to-date and detailed scheduling requirements for provider templates

  • High-functioning scheduler has the ability to make complex scheduling decisions and coordinate across departments

  • Serve as lead for the entire clinic to provide room allocation for urgent and routine add-on clinics

Provide complex clerical support services

  • Process Provider time-off requests as given

  • Obtaining and tracking pre-appointment records; including but not limited to lab and diagnostic results, appointment clearances, progress notes, etc.

  • Manage clinical databases, if applicable

  • Responding to concerns, questions, and complaints from patients

  • Cross coverage for PS Assistant and Associate roles in all clinics

General Duties/Office Support

  • Maintain supplies in the department

  • Prepare and distribute patient education materials and other general office functions i.e. Fax server monitoring, copy and image documents, etc.

  • Other general office functions

  • Serve as a mentor for Patient Services Assistants and Associates

  • Assist in onboarding new team members, providing resources to facilitate the learning of position.

  • Manage, coordinate, and maintain an external relationship with Outreach clinics (non-um clinics), if applicable

  • Participate and lead in team/clinical huddles and meetings

Required Qualifications*

Both Levels:

  • High School diploma or GED.

  • A minimum of 3 years of previous work experience working with the public.

  • Demonstrated ability to interact with a diverse population.

  • Strong organizational and prioritization skills

  • Demonstrated record of excellent attendance

  • Exhibits professional and positive image when interacting with patients, faculty, and staff.

  • Able to handle multiple responsibilities in a fast-paced environment with accuracy.

  • Demonstrated ability to work well under pressure and meet deadlines.

  • Demonstrated strong problem-solving skills.

  • Demonstrated excellent customer service skills with the public.

  • General office practice experience is required.

  • Demonstrated excellent verbal and written skills.

  • Exceptional interpersonal skills and the ability to work well within a team.

  • Ability to communicate effectively.

  • Demonstrates active listening, written, verbal and information technology skills.

Associate Level:

  • 2-3 years of experience.

Intermediate Level:

  • 3-4 years of experience.

  • Knowledge of basic medical terminology.

  • Prior experience performing complex scheduling.

  • Familiarity with obtaining medical records or professional medical billing.

  • Financial counseling experience for healthcare patients.

Desired Qualifications*

  • EPIC/MiChart experience.

  • Experience working within a large, complex health care setting.

  • Prior experience performing complex scheduling.

  • Ability to understand medical documentation and general knowledge of medical terminology.

  • Knowledge of university policies & procedures.

Work Schedule

Monday through Friday; 40 hours per week

This position is included in the bargaining unit represented by the Service Employees International Union

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
