Providence is calling a Patient Services Coordinator (CV Administration, Day Shift, 1.0 FTE) to Providence Alaska Medical Center in Anchorage, Alaska. In this position you will:

  • Customer Service: Demonstrate excellent customer service skills in all interactions with physicians, physicians' office staff, patients, department, and hospital personnel.

    Interactions include telephone, in-person and electronic (email, fax etc) communication. If unable to answer customer's questions or concerns, communicates so in a respectful manner and transfers inquiry to the appropriate supervisor, manager or department for follow-up. Maintain high level of confidentiality in all tasks and communications in line with hospital policy and procedures. Act as the liaison between Admitting, Cath lab, Radiology, and Physician office's for procedure scheduling and communication of patient information.

  • Daily Operations:

  • Front desk: Coordinate daily case progress by monitoring the schedule and actual case progress, serving as the incoming and outgoing central communication coordinator for the Cath Lab, staff, medical staff , and anesthesiologists.

    Answer all incoming calls for the lab and addresses callers' needs or escalates as appropriate. Works with Application Analyst, Enterprise Scheduling to effectively utilize scheduling and software systems. Processes and updates department information, such as disaster recall list. Other duties may include, among others, completing staffing and on-call schedules, journaling and charging.

  • Scheduling: Obtain necessary patient and specific case information from the physician or physician's scheduling office requesting clinic time.

    Determine availability for scheduling requests based on physician requests, allocated room block time, department staffing levels and other resource restrictions. Works closely with the Clinical Supervisor / Charge Nurse or RN Team Leader and surgeon offices to resolve scheduling conflicts, or scheduling barriers, in order to schedule procedures as requested or provide acceptable alternatives. Review the schedule daily for accuracy and conflicts. revises, optimizes and communicates changes or escalates as necessary. Other duties may include, among others, completing staffing and on-call schedules, and providing coverage for other Registrar functions.

  • Journaling: Verify pertinent parts of the clinical record have been completed, following-up with staff as necessary to help ensure the completeness of documentation. Enter and edit pertinent patient's data into the electronic record.

  • Charges: Verify documentation collected by Front Desk is complete for charging purposes, following-up with staff as necessary.

    Enter and edit patient charges based on documentation. As certain item costs and charges not found in system through system research and communication with vendors or staff. Charge include surgical supplies and time, anesthesia medications, and recovery time.

    Performs initial charge reconciliation to ensure cases charged are processed and posted. Complete patient charging and charge error correction workflows within established time lines. Works closely with business manager and other duties may include, among others, journaling, adding and inactivating items in the Item Master and / or Chargemaster and providing coverage for other Registrar functions.

  • Communication & Teamwork: Collaborate with co-workers, other departments, and Professional Medical Staff.

    Consistently demonstrate professional interpersonal communication skills. Promote effective working relations and works effectively as part of the Cardio Vascular team. Communicates with a variety of persons, internal and external to the organization whether in person, telephonically, and electronically (e-mail, FAX, etc.). Serves as a liaison with other services.

  • Quality Improvement & Productivity: Actively participate in quality improvement initiatives by identifying opportunities and recommending solutions.Optimize time and resources to complete assignments and help others complete theirs, improving individual and department productivity.

  • Compliance: Responsible to obtain the necessary knowledge and experience in performing job tasks.

    Maintain compliance with federal, state, and local regulations and laws. Maintains working knowledge of department and role specific procedures through attendance in department and team meetings, online and class education sessions.

  • Complete initial and annual Competency Plan for assigned job and department.

Required qualifications for this position include:

  • 4 years of related experience in medical setting

  • Basic knowledge of CPT and ICD-9 coding

  • Advanced knowledge and experience with spreadsheet, word document, presentation, and scheduling software

Preferred qualifications for this position include:

  • Medical terminology

  • Acute care hospital experience

  • Knowledge of frequent cardiac procedures and surgeon/staff preferences regarding those procedures

  • Working knowledge of database software

In this position you will: * Demonstrate understanding of and provide care according to Standards of Practice and the patient's care plan. These duties are under the direct supervision of a licensed RN and performed according to the staff members expected competencies * Perform duties that assist with activities of daily living such as bathing, ambulating, and nourishment * Transport labs, obtain clean catch and other types of urine samples, perform point-of-care testing to include blood glucose, transport and/or escort patients, as well as hold patients/infants for care or procedures * Communicate effectively with the RN or other caregivers regarding patient issues, family issues, MD issues, and equipment * Utilize the "Hand Off of Communication Tools, "SBAR" * Communicate in a compassionate and professional manner with all staff, patients, families, providers, and visitors * Watch patients closely for changes in their health and responds by informing RN immediately.
