Overview

This is a full time position that will be based out of our new Skokie Outpatient Center (3722 W Touhy Ave, Skokie, IL 60076)!

Acts as a resource to the Patient Service Representatives in addition to performing check-in/check-out functions at point of service areas. Works to ensure accurate workflows. Adheres to all of the Power of All initiatives.

Responsibilities

Performs all tasks of the Patient Service Representative I role including pre-registration as well as full registration. Serves as a resource person and role model for Patient Service Representatives staff during clinic hours.

Handles escalated or complicated issues with workflows. Mentors staff to assure consistency of department operations. Epic Super User Epic tester Develops Standard Operating Procedures.

Cross trained in all aspects of operational functions. Participates in quality improvement activities. Reconciles Epic cash drawer as well as makes deposits for collections when appropriate.

Order supplies for the areas within their scope. Maintains Physicians Sessions log to record time-in/time-out to document hours for billing purposes where applicable. Prepares monthly leases by services to record sessions completed and additional/overtime hours for accounting as appropriate.

Monitors Front End Collections as well as enters weekly collections on the Collection Dashboard for HB/PB Optimization as appropriate. Works with Manager & Patient Service Representative III on staffing to address any daily staffing variances. Monitors distribution of information to practice plans and other departments as appropriate.

Other job functions as assigned.

Qualifications

High school graduate; some college preferred. Minimum two years' experience in clinics or physician office environment.

Knowledge of insurance coverages as well as managed care requirements. Excellent communication/listening skills. Ability to make quick, accurate decisions on a daily basis.

Ability to handle stressful situations. Computer skills with experience utilizing Microsoft applications i.e. Outlook. Substantial interpersonal skills sufficient to work effectively with pediatric patients, families, physicians, nursing and other allied health and medical center personnel. Skillset that exhibits the ability to handle multiple decisions making.

This position will act as a resource and provide work direction to Patient Service Representative staff, which directly supports the clinical staff (i.e., physicians, nurses, therapists, etc.), covering a cluster of medical, surgical and community physician office needs as appropriate. Ensures the smooth daily operation of clinic operations at the facility. Facilitates, promotes and role models the Power of All consistent with the Children's Hospital of Chicago Medical Center leadership statement. Instills within the team the values as identified in the mission and vision statements. Acts as a facilitator/coordinator to the Patient Service Representative staff and functions and as the point/resource person primarily within the team. Plays a critical role as a liaison across medical/surgical divisions and community physicians. Collaborates closely with the Manager/Director to coordinate day-to-day activities. Responsibilities Performs all tasks of the Patient Service Representative II role including pre-registration as well as full registration. Ability to work all ambulatory areas within their scope. Documents new employee orientation. Assists with other personnel and administrative duties and responsibilities as assigned by the Manager, Ambulatory Support. Performs all functions at the point of service areas. Assists the manager in recruiting staff and filling vacancies. Assist manager with quality and productivity monitoring. Trainer for process (non Epic) changes. Serves as a resource person and role model for Point of Service staff during clinic hours. Handles escalated or complicated issues; recognizes and reports variance of workflow and daily operations. Order supplies for areas within their scope. Monitors exchange of information between the point of service areas, physician offices, central registration, and other teams. Identifies and addresses the continuing education/training needs of staff. Ensures that staff appropriately reviews registration information, modification of demographic information, etc. in Cadence system. Is knowledgeable and adept at using the Epic software. Acts as the primary resource for problem solving in the clinics on a day-to-day basis. Identifies goals and objectives for performance improvements needed in order to provide the best patient care, optimum customer service and improve physician satisfaction. Provides input on performance evaluations. Other job functions as assigned. Qualifications High school diploma; some college preferred. A minimum of 3 years of experience in day-to-day function of physician office practice, including knowledge of insurance coverages, and problem solving skills. 4 years preferred. Must possess excellent communication, leadership and organization skills. Ability to routinely make daily operation decisions, ability to translate concepts into actions and demonstrate sound judgment and reasoning skills. Demonstrates customer sensitivity, initiative, and good judgment and sets high goals and standards of performance for self and the organization.
