GENERAL SUMMARY/ OVERVIEW STATEMENT:

Under the supervision of the Administrative Manager, provides a broad level of administrative support to a physician, medical practice or clinic for patient care and administrative activities. Works independently to execute job responsibilities and tasks. Works with the physician, staff members and management to ensure a quality-based, customer-oriented flow of work. Utilizes discretion and judgment to organize priorities, complete tasks and handle confidential patient information. Performs a wide range of administrative tasks utilizing well established skills and experience to support a medical office, including surgical scheduling, prior authorizations, medical office coding and billing as well as coordinating patient services such as appointments, testing, and referrals; Performs administrative coordination of a physician's office to include secretarial support, data management and billing/financial support. Maintains advanced knowledge and proficiency in medical office operation, insurance regulations and billing practices.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

PATIENT CARE RESPONSIBILITIES

  • Schedules patient office appointments; coordinating with others as appropriate. Provides information to physician as appropriate.

  • Refers patients to appropriate hospital departments for registration, referral and financial services as needed.

  • Obtains, provides and maintains medical records in support of patient visits, surgeries, billing and other needs.

  • Maintains high level of knowledge and skill in the use of appropriate electronic systems to obtain and provide information.

  • Arranges and/or provides information and visit support to patients and their families, such as distributing maps, information regarding procedures and interpreter services.

  • Prepares for patient visits by placing appointment and surgery reminder calls, organizing patient files and printing forms and ensuring physician and office is prepared to provide for patient visit or surgery.

  • Completes all aspects of patient checks-in in a courteous manner. This includes updating computer systems with correct and complete information, obtaining referral information and payments and preparing billing materials. Coordinates with clinical staff to ensure smooth patient flow.

  • Completes procedures to check-out patients as they exit exam rooms, including scheduling appointments and testing

  • Provides and coordinates office support to meet physician needs. This includes operating room schedules, maintaining files, dictation support, correspondence with physicians, patients and other offices or agencies

  • Provides and coordinates patient appointments to include processes related to cancelled appointments and reminder notices.

ADMINISTRATIVE RESPONSIBILITIES

  • Maintains physician's office to include calendar management, travel, office reception, mail processing, correspondence and reports and related responsibilities of a secretarial nature.

  • Ensures timely renewal and maintains files of physician's medical license(s), DEA certificate, professional liability insurance, etc. Prepares and maintains files of hospital and managed care plan credentialing documents. Ensures office is operating efficiently by performing duties to monitor and address needs such as order supplies, maintain files and obtain literature.

  • Organizes materials and information for processing of invoices and reimbursements, updating and communicating on-call schedules and for use in presentations made at national meetings. Establishes and maintains databases for practice and physician use.

  • Arranges for outside visitors, medical students, etc. as requested by physician.

  • Cross covers other staff members, e.g. breaks, lunches, vacations, during variations in work flow as needed.

  • Participates in periodic staff meetings or other departmental meetings.

  • Perform/participate in special projects as may arise from time-to-time.

SURGICAL SCHEDULING

  • Arranges patient surgeries by scheduling pre-surgery appointments and testing; reschedules as needed. Obtains all required authorizations and referrals in advance of surgery. Provides information to Admitting in a timely manner.

  • Utilizes Epic to schedule surgeries electronically. Updates physician calendar to block surgery schedule. Communicates any special circumstances to the physician. Distributes surgical schedules.

  • Works with primary care and specialty offices to obtain patient historical data, reports, imaging studies, lab results or other information necessary for the coordination and completion of the surgery and patient care.

  • Ensures patients receive pertinent patient education information about their surgeries. Confirms completion of Consent for Surgery forms. Provides patients with pre-surgical instructions in a timely manner. Addresses or refers patient and family questions regarding surgery, insurance and administrative.

  • Work effectively and efficiently with insurance companies to obtain pre-authorization for any and all surgical procedures.

  • Maintains files to incorporate surgical information in paper and electronic patient and office files. This includes operative notes, discharge summaries and test reports.

  • May schedule post-operative appointments and testing.

BILLING

  • Maintains an advanced level of knowledge regarding third party insurance, managed care and financial services and resources available to patients. Attends meetings and educational sessions to secure this knowledge base.

  • Organizes and forwards patient and procedure information for billing. Answers patient and billing office questions. Resolves any discrepancies.

  • Creates and maintains billing information, updating patient and hospital records. Ensures bills are processed and mailed in a timely manner. Works with patients to collect payments for all services provided.

  • Investigates and resolves billing matters utilizing advanced knowledge and skill related to insurance coverage, referral management, insurance company procedures and billing process.

  • Serves as a resource to administrative colleagues and physicians regarding billing procedures and collections.

QUALIFICATIONS:

  • Associate's Degree or Secretarial Certificate preferred. Equivalent and additional administrative experience may be considered in place of education.

  • Minimum of 3 to 5 years of secretarial experience. Experience in a healthcare setting helpful.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

  • Exceptional computer skills (including word processing, database, email, internet, and spreadsheets) required. Knowledge of IDX and other systems at a level sufficient to perform job.

  • Good command of English language, including medical and scientific terminology.

  • Exceptional organizational skills and the flexibility to handle multiple tasks and deadline pressures.

  • Ability to work independently or in a team environment.

  • Excellent interpersonal and customer service skills; ability to solve problems.

  • In-depth understanding of all pertinent medical insurances, managed care and patient financial services.

  • Is knowledgeable and compliant in all hospital, State and Federal regulatory requirements, including hospital policy and procedures (where applicable to the performance of the job), Joint Commission (JC), and Health Insurance Portability and Accountability Act of 1996 (HIPAA).

VIEW JOBS 5/17/2021 12:00:00 AM 2021-08-15T00:00 Receiving direction from administrative and clinical leadership, the PSC III in PTIS serves as the front line, outward facing voice and face of the OPD. The Psychiatry intake coordinators are the first liaison between patients and providers: frequently relaying clinical information and directly resolving patient issues per provider instruction. The patient population of the Department is high acuity with complex psychiatric disorders, co-morbid medical issues, including substance use and overlapping psychosocial concerns. Department PSCs work as a dynamic team alongside providers to meet the needs of patients including but not limited to: identifying appropriate specialty practices, intake interviewing, appointment scheduling, securing insurance authorizations, resolving problems and providing customer service; cross coverage; waiting room management, and calls to security. PSC IIIs in the Department ensure the highest quality of care and level of service to psychiatric patients and their providers. PRINCIPAL DUTIES AND RESPONSIBILITIES: The responsibilities of the PSC III include, but are not limited to: * Effectively interacts with diverse population including but not limited to those with complex psychological disorders, cognitive impairment, intellectual disability and/or physical disability as well as people whose primary language is not English. * Independently assesses patient problems or concerns and seeks out leadership and provider assistance when an immediate risk exists. * Works to ensure HIPAA Confidentiality and Privacy Policies are fully implemented. Understands the heightened sensitivity and protection of psychiatric information and properly screens any request to ensure HIPAA compliance. Utilizes hospital HIPAA standards to respond to callers asking for information about patients over the age of 18. * Carefully employs awareness and maintenance of proper professional boundaries with psychiatric patients. * Greets patients and visitors via telephone in a professional, consistent, courteous, timely and respectful manner. * Utilizes electronic health information system, Epic, including its Cadence module for scheduling, check-in, messaging and other tasks, as necessary. * Manages difficult phone conversations such as complaints in service or treatment, discharge from a clinician or practice, situations that result in a disruption in treatment, or insurance coverage issues. * Under the direction of a physician, actively involved in implementing behavior management protocol for disruptive patients over the phone or in person. Practices de-escalation skills and reframes situation in a caring, calm and professional manner. * Escalates any patient safety concerns to social worker or program manager for appropriate assessment and determination. * Reviews patient demographic information, insurance information and referral numbers. Transfers patients to the Registration and Referral Center to have information updated if there are discrepancies. * Refers patients to Patient Financial Services, and other hospital departments, as appropriate, for financial counseling as appropriate. * Provides basic information to patients regarding the hospital and department and provides detailed information about specific practices. * Performs triage with new patients by completing thorough intake questions with patients over the phone and determines patient eligibility for services in the department through medical record review. * Schedules and reschedules intake appointments efficiently and accurately for new patients of multiple clinics in the psychiatry department using the Epic scheduling system. * Directs calls or takes accurate messages as appropriate using the electronic medical record, Patient Gateway, Clinical messaging, e-mail and paper. * Identifies and communicates to practice leadership issues of process creating inefficiencies within the operation, actively assists in their process improvement and works with their team and management. * Actively participates in monthly support staff meetings and other meetings as requested. * Keeps current with hospital and clinic emergency procedures including codes red, blue, silver and pink; disaster and security protocols. Participates in annual required trainings. * Performs all other duties that are clinic specific and are appropriate to this level of position. * A high degree of initiative and independent judgment, excellent time management, communication and decision-making skills are required. * Strong computer skills necessary to use computerized scheduling and electronic medical record systems * Knowledge of MS Office software (i.e. Word, Excel, Outlook) * Excellent and effective customer service and communication skills. * Demonstrated ability to work effectively and courteously with various groups of patients, staff and providers. * Excellent interpersonal skills to communicate and interact with a socially diverse group of patients and families.
