We are seeking a Patient Recruitment & Retention Specialist to join our growing team! This role is full time, permanent and home based anywhere in the US.

The Patient Recruitment and Retention Specialist will functions as main liaison to Director, Patient Recruitment and Retention on various items related to the development of proposal strategies across all indications. Specifically choosing appropriate vendors and developing global recruitment strategies and how they pertain to specific protocol. Liaising with medical and feasibility teams for insights related to strategy development. Writing proposal text. Serve as patient recruitment and retention project manager on awarded work, working with, and, overseeing various vendors and regularly communication with global study team.

Tasks may include but are not limited to:

  • Provide input for proposals and bid defenses on Patient Recruitment strategies and tactics
  • Operationalize on awarded work by working with selected vendors and our project management team
  • Work with Project Management team in developing and implementing Patient Recruitment plans for global studies
  • Innovate new strategies to engage patients and sites to enhance patient recruitment

  • An effective communicator, both written and spoken English
  • Knowledge of budgets
  • Monitors project timelines, ensuring that milestones at risk are identified
  • Owner of Site Management SharePoint. Develops the format and content
  • Proactively communicates with global team
  • Ability to work independently and meet deadlines on special projects with minimal supervision
  • An accomplished negotiator with the ability to influence and present to small and large groups
  • Ability to be creative in development of strategies and tactics for trials
  • Ability to work at a fast pace with short timelines
  • Background in medicine, science or other relevant discipline with a substantial international experience in clinical drug development across a broad range of therapeutic areas
  • Have a track record of successful management of clinical operations staff and managing processes, with proven responsibility for delivery to timelines
  • 5-8 years experience in Patient Recruitment for clinical research
  • Knowledge of the principles of Good Clinical Practice
  • Minimum Bachelors degree

Serve as a relationship manager, ambassador, and single point of contact with referring providers, physician practices, and hospitals. 2. Routinely round local and assigned physician practices to provide information about new services and address needs of providers and staff. 3. Design, develop and execute physician outreach that supports strategic growth, clinical integration, and care access. Collaborate with physicians, service line, and hospital leadership in the planning process. 4. Promptly identify and address care access and referral barriers on behalf of referring providers and practice staff. 5. Onboard select providers, practice managers, and referral coordinators to clinical services and referral management pathways. 6. Collect customer feedback, market intelligence, business development, clinical integration opportunities identified from referring provider and staff interactions. Provide information to service line leadership, strategic planning, and other organizational stakeholders. 7. Ensure visit productivity meets minimum visit standards established by manager. 8. Demonstrate working knowledge of organizational mission, goals and initiatives, internal service line offerings, and market differentiation. 9. Demonstrate proficiency and effectively promote the use of information technology solutions that enhance care access and communication between providers. Effective promotion includes assistance with education and training, enrollment, and technical assistance. 10. Effectively utilize data such as Epic@UNC referral order reports and PRM claims data to identify targets for outreach, market growth, and clinical integration. 11. Document visit and issue resolution productivity in a timely and accurate manner within the PRM contact management software, productivity spreadsheets, and outreach plans. 12. Submit physician outreach visit synopses to service line and organizational stakeholders in a timely and accurate manner. Visit synopses should include visit purpose, attendees, discussion items, market intelligence, and action items. 13. Regularly engage and collaborate with others that influence or benefit from team and individual activity including NDPL colleagues, Strategic Planning, Marketing, ISD, Care Access, Virtual Care Center, Legal/Compliance, etc. 14. Ensure expense and resource management is fully compliant with legal standards, budgetary targets, and financial reporting protocols. Physician Recruitment: 15. Execute provider recruitment activities according to the recruitment strategic plan. 16. Serve as the on-site coordinator and single point of contact for all provider recruitment and physician networking activities. 17. Ensure that all responsible parties are performing their assignments per the recruitment checklist. 18. Ensure that all provider candidates have a high-touch and organized experience including the development of interview and visit itineraries; coordinated travel, hotel and dining arrangements; be responsive to candidate inquiries via telephone and email; screen and select candidates; effectively lead candidate site visits; assist with contract negotiation and formal job offer process so that it is organized and timely; report candidate status to network recruitment office, ensure recruitment process is fully closed on each candidate. 19. Participate in UNC School of Medicine career fairs, statewide career fairs, UNC Health Care recruitment roundtable, and other recruitment events as appropriate. 20. Coordinate efforts so that activities align with local hospital expectations. 21. Coordinate and conduct interviews of all provider candidates submitted by the network recruitment office and external recruitment firms. This includes telephone and on-site interviews. 22. Onboard select medical staff to hospital and UNCPN services and stakeholders. 23. Report professional observations, candidate feedback, recruitment and retention needs, recruitment workflow optimization needs to hospital leadership and network recruitment office. 24. Document all activity into Healthgrades and recruitment activity spreadsheet, and submit monthly report to leadership. 25.
