Under direct supervision of the Clinic Director the Patient Coordinator is to work closely with the clinic therapists and patient services team to assure our clinics and records are organized, clean, and efficient.

The Patient Coordinator must deal with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload. The ability to maintain patient confidentiality is of upmost importance in this position.

The hours for this position are 3:00 pm – 6:00 pm Tuesday, 3:00 pm – 6:30 pm (Wednesday – Friday) and 7:00 am – 3:00 pm on Saturday.

  • Answers phones, greets patients, completes patient intake, processes account inquiries/payments.
  • Establishes, develops, maintains and updates patient files and schedules.
  • Manages insurance verification, authorization and prescriptions.
  • Maintains payment records.
  • Clinical duties to include cleaning and organizing, doing laundry, and ordering supplies for clinic.
  • Distributes the satisfactions survey to patients and compiles results.
  • Sorts and distributes clinic mail.

  • This position is largely a sedentary role, however some filing and organizing of the office is required. This would require the ability to lift, open cabinets, and bend or stand as necessary.

Qualifications

  • High school diploma or equivalency.
  • Minimum 6 months administrative or office setting experience.

Included are appropriate demographic and insurance information, scheduling appointments, collection of co-payments and self-pay deposits and posting payments into the billing system. Position must fully understand the ramifications and impacts of incomplete or inaccurate information as it relates to clinical staff and the revenue cycle. # # MINIMUM QUALIFICATIONS ## High school diploma or equivalent ## Some college or healthcare focused classes preferred such as medical terminology, medical office practices, etc. ## Demonstrated excellence in customer service skills ## One year customer service experience; healthcare preferred ## Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered. # THIS POSITION MAY BE ELIGIBLE FOR AN EMPLOYMENT INCENTIVE PURPOSE/DISTINGUISHING CHARACTERISTICS The Patient Flow Specialist will perform both staffing and patient placement duties. The Patient Placement duties include: providing support and assistance to the RN Administrator On Duty (AOD) for patient placement and bed management activities, coordinating with admitting staff, care management, nurse managers, charge nurses, physicians, ancillary services, Emergency Department, environmental services and infection control. Ensures all admissions (elective and emergent), transfers and discharges are in accordance with Billings Clinic's clinical standards and guidelines. Proactively works to ensure that patients are assigned to appropriate patient care units and facilitates patient throughput while ensuring patient safety and quality standards are adhered to. Communicates census updates and status reports to senior leadership and AOD for bed capacity management on a daily basis. The Patient Flow Specialist is responsible to assist with the coordination of the daily staffing needs within the Patient Services Division and arranges/maintains staffing at appropriate levels. Maintains a collaborative relationship with all departments to enhance smooth functioning of the individual department and organization as a whole.
