Pure Dental Spa is a leading Dental Group based out of Chicago that provides exceptional dental care across multiple locations. We are expanding our team and looking to build a centralized contact center to assist our patients and practices with booking appointments and following up with overdue patients. We are seeking a dedicated and professional Patient Coordinator to join our team.
This position is remote- As a Patient Coordinator, you will be the first point of contact for patients, playing a vital role in ensuring they receive the highest level of service and care. You will handle incoming and outgoing calls to schedule appointments, manage chat requests, and online appointment booking platforms. As well as follow up with overdue patients, call on outstanding treatment, and address any questions or concerns. The ideal candidate will have excellent communication skills, an energetic and friendly demeanor, and a passion for helping others.

Schedule for the Patient Coordinator:
Monday- Thursday: 8:00AM-5PM
Friday 8:00am- 4:00pm
Key Responsibilities for the Patient Coordinator:
Appointment Scheduling: Manage incoming New Patient calls following our 5 Star phone system- Able to schedule at minimum 80% new patient calls. Existing patient call - schedule appointments for existing patients following guidelines to ensure efficient schedules for providers.
Follow-Up: Proactively reach out to overdue patients to remind them of their appointments and reschedule as necessary.
Customer Service: Provide exceptional customer service by addressing patient inquiries, concerns, and providing relevant information about our services.
Data Entry: Accurately enter patient information and appointment details into our system.
Collaboration: Work closely with our dental offices to ensure seamless communication and coordination of patients and schedules.
Problem-Solving: Address any issues or concerns raised by patients and escalate to the appropriate team members as needed.
Qualifications for the Patient Coordinator:
Previous experience working in a dental office front desk is a must.
Basic knowledge of dental terminology is a must
Communication Skills: Excellent verbal and written communication skills with a professional and friendly phone manner.
Formal Phone training is preferred
Customer Focus: Strong commitment to providing exceptional customer service and patient care.
Organizational Skills: Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Tech-Savvy: Previous experience in Dentrix Ascend, Dentrix, or similar dental patient management software.
Education: High school diploma or equivalent is required. Additional training or certification in customer service or healthcare is a plus.
