Patient Care Coordinator

We seek a full-time, in-person Patient Care Coordinator position at our Henrico, VA location.

Schedule: Monday

  • Thursday 10:00 am

  • 7:00 pm & Friday 11:00 am

  • 3:00 pm

Compensation: $17.00 - $19.50 per hour

Requirements:

  • High School Diploma or Equivalent

  • Excellent written and verbal communication skills: basic math skills

  • Excellent customer service skills

  • Ability to multi-task within different job responsibilities/settings

  • Good analytical, problem-solving, and organizational abilities

  • Medical EMR / HIPAA experience preferred

  • Detail Oriented/Reliability

  • Microsoft Word / Excel experience preferred

  • Insurance network/Credentialing process knowledge

  • CPT code knowledge

Role and Responsibilities:

  • Interact with clients, potential clients, and other staff in a respectful and professional manner

  • Schedule client appointments, activate client portal, and facilitate client completion of intake paperwork

  • Collect co-payments and address outstanding balances with clients

  • Run back-balance reports and payments daily

  • Answer incoming phone calls

  • Check voicemail messages and emails hourly

  • Return all voicemails and emails within 24 hours

  • Verify insurance benefits and properly document them in the client chart

  • Assist with the development of work rules and guidelines for administrative staff

  • Enter and update client demographic, financial, and insurance information in the EMR

  • Assist with completing medication prior authorizations and entering medication refill requests for completion by PMHNP

  • Serve as administrative back-up when other admin staff are out of the office and flex schedule as needed to accommodate

  • Work with Executive Directors and Operations Manager concerning administrative issues and needs

  • Manage and regularly update the waiting list

  • Advise Executive Directors and Operations Manager of areas of clinical demand/need and when waiting lists need to be capped or opened up

  • Assists with the opening and closing of offices

  • Assist with orientation and training of all new Front Desk Employees

  • Ensure efficient and productive workflows exist to support effective operations

  • Distribute monthly treatment plan reports

  • Scan documents into client charts, assist with requests for medical records

  • Perform other administrative tasks as requested by Executive Directors or Operations Manager
