Responsibilities

GENERAL PURPOSE:

With minimal direction from the Pathway Programs Associate Director, helps in the planning, development, implementation, and evaluation of pathway programs and projects. Shares responsibility in URMC's commitment to growing and sustaining a diverse and inclusive learning environment, and supports opportunities to engage with diverse undergraduate/graduates, MD students, graduate medical trainees, and other stakeholders that enrich the quality of their experiences at the University of Rochester. Plans and conducts programs for events such as conferences, workshops, orientations, seminars, tours, and special events. Assesses effectiveness of all pathway programs and recommends improvements. Manages approved programs as directed. Establishes and executes a project communication plan, ensuring clear and effective communication to the team.

This is a multi-project-oriented position, often with inflexible deadlines where strong organizational skills and the ability to multi-task is required. This is a hybrid position requiring occasional evenings and weekends for programming administration.

RESPONSIBILITIES:

Project Management

  • Assists with the development and execution of project plans. Monitors progress of a project. Identifies issues and barriers and works to resolve them.

  • Ensures projects are completed on time and meet established requirements.

  • Collaborates with the Director of Operations and Budgets to manage vendor relationships where applicable, including contract review as required.

  • Obtains key resources and materials.

  • Gathers input from and works with program leadership to create program plan with activities, dependencies, dates and timeframes, resource requirements, milestones, and deliverables.

  • Reviews applicants for programs; oversees that interviews are scheduled; works with interview committee to select and admit candidates for the coming year.

  • Helps with onboarding and training of students.

  • Acts independently and self-supervises all phases of project activity.

Special Event Coordination

  • Plans and conducts programs for persons and groups holding university-sanctioned events such as conferences, workshops, orientations, seminars, tours, and special events.

  • Participates in the administration of programs. Normally:

  • Supervises or directs registration.

  • Writes and directs the mailing of program announcements.

  • Coordinates and arranges with appropriate agencies for services such as housing, food service, security, travel, parking, etc.

  • Arranges for personnel coverage at events and personally follows up on coverage as necessary.

  • Maintains records for future use in repeat programs

  • Establishes and maintains positive relationships with those departments and individuals utilizing services of the office; offers counseling assistance as appropriate

  • May advise student groups in the planning of conferences (does not provide administrative assistance).

Analytics

  • Helps identify success metrics and helps determine if goals are achieved through regular monitoring of progress across assigned projects.

  • Assesses effectiveness of all programs and recommends, designs, and implements improvements. Manages approved programs as directed.

  • Conducts financial/business case analysis of proposed projects and presents to leadership for prioritization.

  • Conducts research (survey peer organizations, literature, etc.) to identify and/or benchmark solutions.

  • Establishes channels for collecting feedback from participants and student workers. Tracks program participants' educational and career trajectories in the program database.

  • Prepares analytical reports regarding participants in programs for grant renewals or new submissions and URM medical school applicants.

Communication

  • Establishes and executes a project communication plan, ensuring clear and effective communication to the team.

  • Maintains and communicates program schedules, metrics, and ongoing status of the program.

  • Provides regular project updates to project sponsors and stakeholders.

  • Proactively builds and maintains interdepartmental relationships; builds on prior experience to further enhance key sustained relationships with donors. Collaborates with Advancement on possible scheduling of donor-related cultivation and meeting opportunities.

  • Delivers content and obtains ongoing feedback from program participants.

  • Regularly interfaces with guardians of minor program participants.

QUALIFICATIONS:

  • Bachelor's degree required.

  • Master's degree in Education, Communication, Business Administration, Counseling, Psychology, or Student Affairs preferred.

  • 3 years of relevant experience coordinating and managing projects required.

  • or an equivalent combination of education and experience required.

  • Previous experience related to diversity, equity and inclusion initiatives and programming preferred.

  • Excellent organization, verbal and written communication, and analytical skills required.

  • Strong interpersonal skills, problem-solving ability, writing and multi-tasking skills

  • Ability to work collaboratively with faculty, students, community partners, and maintain confidentiality of information at all times required.

  • Experience with Microsoft Office, including Outlook, Word, Excel and PowerPoint required.

  • CITI certified, Project Management preferred.

Pay Range

Pay Range: $62,525 - $93,766 Annually

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
