The purpose of this position is to provide support to the Casey Eye Institute in Hood River & The Dalles, Oregon, specifically in the areas of telephones, reception, scheduling, and day-to-day operations. This position is a regular, full-time benefited, non-remote position.

Function/Duties of Position

Ask patients to sign charge slips; Schedule next appointment or complete reminder card; collect co-pays/charges owing; schedule additional testing; obtain insurance authorizations; schedule surgeries, counsel patient on procedures and distribute packets and kits.; review charge slips for missing/incomplete information, and verify chart and charge slips substantiate work performed and charged; supply needed forms to patients, including Medicare glass forms, correspondence and chart requests.

INTEGRATED CARE: Arranges and orders associated clinical, diagnostic, or laboratory services; obtains authorizations when necessary. Directs patients to appropriate providers for other health care issues. Completes and routes direct referrals to other clinical services. Contacts primary care physicians or their designees to obtain authorizations for urgent care. Schedules return appointments on line, and manually if necessary; initiates authorization requests for subsequent care.

ENROLLMENT & AUTHORIZATION: Gathers and/or verifies patient information including demographics, insurance coverage, and financial status. Confirms patient eligibility for health care coverage and clarifies any managed care arrangements. Obtains authorizations for clinical care, procedures, and laboratory studies. Enters all information accurately into OHSU databases or into the medical record when necessary. Follows up on pending authorizations until they are obtained.

Pull and prepare charges by inserting reports and forms. Label and file active patient records and purge deceased and aged charts. Stock chart forms, surgery kits and surgery packets as needed; assist with closing office.

CUSTOMER SERVICE: Provides high quality customer service to both external customers (patient, referring providers, and insurance carriers) and internal customers (OHSU health care providers and staff) that meets or exceeds the service standards of the health care industry. This duty includes prompt and professional communication efforts, face-to-face customer contact skills, crisis management, facility with available information technology, standard complaint processing, flexible coverage of internal service needs, and the continuous applications of process improvement methods and skills.

Provides backup administrative support to other support staff. This includes, but is not limited to: attending educational in-services and staff meetings, communicating additional training needs to direct supervisor, cross-trains for position in assigned or other clinic areas, when necessary. Maintains core competencies and demonstrates continuous applications of these skills throughout the time of employment.  Demonstrate competency with approved OHSU technology; including but not limited to Epic, Microsoft Outlook.

Required Qualifications

Experience:

  • Six months of work experience in a medical office setting, including high volume direct patient contact; OR
  • One year of work experience in a high volume direct public contact position

Job Related Knowledge, Skills and Abilities (Competencies):

  • Clinical experience, basic computer keyboarding skills and working knowledge of medical terminology.

  • Strong relationship-building skills with patients, health plans, providers, staff, and management.

  • Exceptional customer service skills - both in person and on the phone.

  • Exceptional interpersonal skills - able to resolve conflicts and to problem solve between parties.

  • Patient advocacy skills - evaluate patient concerns for timely resolution.

  • Sensitivity to patient needs.

  • Demonstrated evidence of strong written and verbal communication skills.

  • Ability to manage competing priorities.

  • Ability to meet deadlines and urgent patient and system needs.

  • Ability to work independently; willingness to serve as a positive and professional role model.

  • Must have demonstrated a record of reliable attendance, punctuality and proven successful performance in past and present.

Preferred Qualifications

  • High school diploma or GED preferred.

  • Two years of work experience in a medical office in a high volume direct patient contact.

  • Ophthalmology experience preferred.
