Position Summary

Accounting/Finance
Setup new projects in QuickBooks; create Billing Sheets
Enter timesheets weekly
Compile timesheet data and enter data online to process payroll biweekly
Receive, collate and distribute paychecks; submit online payments for 401(k), Flex, H S A
Enter employee expenses into QuickBooks weekly; print reimbursement checks monthly
Receive invoices from subs, enter into QB and onto Billing Sheets
Prepare weekly Project Spent reports to email to PMs
Receive checks/ACH and enter into QB and on Billing Sheets and stamp invoices paid
Prepare deposit slips and make deposit at Fulton bank
Prepare checks, print and mail for subs and A/P
Print monthly Billing Sheets for each project, distribute to PMs and consult on invoicing
Generate invoices in QB for submission to client via email/mail/online submission, and update Billing Sheets
Prepare quarterly tax filings for NJ or specific state requirements
Print monthly reporting for P/L, AR, AP and project details
Set up new employees: QuickBooks, PA New Hire, Medical, 401(k) system
Maintain corporate census salary, raises, medical, dental, vacation accrual
Assist in annual renewal for medical, dental, long and short term disability
Assist in management of 401K plan (annual meeting/withholding per pay)
Assist in management of procurement relationships providing data as required
Reconcile checkbook and prepare reconciliation report
Interface with customer and partner accounting groups
Follow up on AR, overdue AR
Provide quarterly/annual data to CPA
Enter specific journal entries based on year end depreciation, etc
Assist in annual reviews of GL, Auto and liability insurances
Prepare/coordinate insurance certifications for customers

Purchase office supplies
Manage printing of business cards
Manage incoming and outgoing mail / overnight mail
Prepare qualification packages
Maintain project pages
Preparation of collateral material for proposal
Manage resumes/updates
Manage proposal and project entries in project and proposal log
Collaborate with technical staff for preparation of proposals
Assist in preparation for technical trade shows / meetings
Assist in follow up of proposals

Location: Bergey's Ford, Ambler PA Shift: 8:00am-3:00pm - 4 days per week Essential Duties * Picks up and delivers parts and equipment to customers, satellite stores, wholesale accounts, and vendors. * Checks with the parts manager, wholesale representative, inventory control administrator, parts counterpeople or shipping and receiving clerk before leaving to coordinate any last-minute pick-ups or deliveries. * Checks with the body shop each day to determine immediate parts needs. * Delivers parts to body shop when needed and distributes to appropriate body technicians. * Verifies that invoice matches purchase order for each pick-up. * Checks payments received with the invoices for each delivery. * Keeps an accurate log of daily deliveries and pick-ups. Requests recipient's signature on each delivery entry. * Unloads truck each night. Turns in all paperwork and undelivered parts. * Handles basic maintenance of the truck including filling tank with gas, checking oil, keeping it clean and making sure required inspections are performed. * Advises parts manager if delivery trucks need major repairs and maintenance. * Helps maintain the professional appearance of the parts department. * Assists service department as needed with attendant responsibilities of managing the drop-off and pick-up of customers' cars. * Helps with stocking and posting orders when they arrive to expedite delivery to shop technicians and wholesale accounts. * Maintains professional appearance. * Other tasks as assigned.
