Primary Functions:

This position reports directly to the Program Director, Student Support Services (SSS)/TRIO Grant. This position will maintain accounting for the divisional office, personnel files, day to day operation of the office, general website updates, procedural manual updates, and other duties as assigned.

Minimum Qualifications:

  • Associates Degree or equivalent required

  • 2 years secretarial or administrative assistant experience, database, and customer service experience required; basic bookkeeping and organizational skills preferred.

  • Intermediate level experience with MS Office Suite

  • Experience working in higher education preferred

  • Professional and/or personal experience in overcoming barriers similar to those facing project participants is preferred

  • Answer basic student questions and concerns related to the program

  • Maintain calendar for Program Director and other functions supporting SSS/TRIO

  • Other duties as assigned

Coordinate repairs for office equipment. * Sales system data entry (i.e. loading leads); assist in the preparation of regularly scheduled reports (i.e. call reports). * Present new hire orientation. * Handle mailroom responsibilities for incoming and outgoing mail, postage meter and related systems and accounts. Handles the mailing of samples. * Organize and schedule meetings and appointments and coordinate refreshments (including monthly Sales meeting, Town Halls and company events). * Book travel arrangements as necessary * Provide general support to visitors * Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. * Contribute to team effort by accomplishing related results as needed. * Develop and maintain effective working relationship with management team and develop efficient and effective solutions to support their needs. * Cover the reception desk when required. * Handle sensitive information in a confidential manner.
