Under general supervision provides administrative support to assigned function (an individual, team or department), performing a broad range of secretarial and minor administrative duties, primarily relating to support of efforts of assigned function.

  • Organizes; prioritizes own work flow.

  • May compose own letters as well as general correspondence from marginal notes or verbal instructions.

  • May compile regular and special reports, obtaining and selecting data from various sources as required and perform designated tasks to assist.

  • May maintain appointment and meeting calendars, perform scheduling functions, make airline and hotel reservations, and keep others informed of commitments.

  • May organizes and maintain office files, manuals, records, and documents.

  • May provide preliminary research on problems or activities as assigned.

  • Work productively and harmoniously with others on a consistent basis.

  • Respond positively to direction and feedback on performance.

  • Consistently maintain professional and appropriate demeanor.

  • Perform other duties/projects as assigned.

Education, Skills and Experience Requirements

  • High school diploma or equivalent required.

  • 2 years secretarial or administrative assistant experience required.

  • Knowledge of Microsoft Office required - possessing intermediate Word, Excel, and graphics software skills.

  • Excellent spelling, punctuation and grammar skills required.

  • Strong verbal and written communication skills required.

  • Work experience demonstrating advanced organizational skills required.

Specialized skill training/certification/licenses may be required. (Recruiter to confirm at time of posting).

Due to the nature of the needs in the office, regular and reliable attendance is required. Must be able to work at least 37.5 hours per week, Monday through Friday, and be available as situations arise requiring extended hours.

The Shared Services Administration Team of the Finance and Operations Division supports the Law Department's team members and clients by providing high quality and timely support and delivering an exemplary and extraordinary level of customer service. The Administrative Assistant 4 role provides administrative support to the Law Department's more senior level team members including attorneys, paralegals, and/or managers as determined and assigned by the Legal Manager. Job duties consist of handling complex to highly complex assignments as well as the routine day-to-day administrative tasks. KEY JOB RESPONSIBILITIES INCLUDE: * Calendaring - Manage electronic calendars; schedule meetings, appointments, conference calls * Meeting Logistics - Prepare agendas, materials; coordinate room/equipment reservations * Visitor Logistics - Register visitors with security, reserve visitor space, escort visitors * Mail - Distribute incoming and outgoing mail, faxes, interoffice mail, express mail * Copying/Faxing/Scanning/Printing - in-house or manage large jobs with external vendor * Phone Calls - Answer, screen, take messages, or route calls appropriately * Travel - Handle travel reservations, changes & emergency travel situations in HRG system; provide itineraries * Expenses - Process expenses in Concur * Office Supplies - Place orders and maintain supply rooms according to site process * Documentation - Compile information, draft or independently prepare: internal communications; legal documents including edits, redlining; reports, correspondence; org charts; or PowerPoint presentations with charts/graphs * Research - May assist with legal research on the Internet or Westlaw * Invoices/Check Requests - Process or route invoices appropriately, create and submit check requests * Matter Management - Open/Close/Maintain/Update matters electronically; pull reports * Records Management - Maintain accurate and organized paper and electronic files * Intake/Routing Processes - May manage intake/routing of special processes or requests * CLE - Assist Attorney with administrative duties related to CLE courses * Communication - Interact and act as a liaison with business clients, business partners, outside counsel, internal and external staff, expert witnesses and vendors; update share point sites * General Processes and Procedures - Assist team members in finding information on Law Department procedures and assist with requests or inform of correct procedures * Special projects and assignments as assigned and directed by the Legal Manager Required Qualifications * 3+ years of administrative support experience Desired Qualifications * Ability to execute in a fast paced, high demand, environment while balancing multiple priorities * Ability to handle confidential material in a professional manner * Ability to provide strong customer service and develop customer relationships * Ability to quickly establish credibility to build and maintain effective working relationships * Advanced Microsoft Office (Word, Excel, Outlook and PowerPoint) skills * Excellent verbal, written, and interpersonal communication skills * Knowledge and understanding of legal terms and processes * Outstanding problem solving and analytical skills with ability to turn findings into strategic imperatives * Strong analytical skills with high attention to detail and accuracy * Strong organizational, multi-tasking, and prioritizing skills * Process efficiency experience, including process assessment and recommendations for improvement * Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events Other Desired Qualifications * Advanced Adobe Acrobat Pro skills * Proficient in drafting and proof-reading written documents utilizing proper grammar, punctuation, and spelling * Demonstrated ability to independently handle complex to highly complex tasks or projects * Proficiency in articulating, communicating professionally and appropriately with confidence at all levels and across functional lines * High level of motivation, demonstrated ability to be proactive and adaptable to change; leads self and others through change * Experience as an Administrative Assistant/Secretary in a law firm or legal department * Experience supporting multiple team members simultaneously with accuracy and efficiency Job Expectations * Ability to lift 35+ pounds Disclaimer All offers for employment with Wells Fargo are contingent upon the candidate having successfully completed a criminal background check.
