Part Time Service-Administrator

SUMMARY Administrative Service Clerks are involved in both general administrative tasks and service related tasks generally in smaller dealership locations. Administrative Service Clerk responsibilities may include some or all of the following: billing customer repair orders, taking payments, maintaining customer and vehicle information and assisting management with administrative tasks to ensure an efficient and quality service experience for our customers.

The Administrative Service Clerk may frequently be the first point of contact for customers so must have excellent communication and customer service skills. Service related: Establish primary contact with customers via answering phone calls or greeting them as they enter the building.

Greet customers in a timely, friendly manner and obtain all specific vehicle/customer information required for proper repairs. Refer to appropriate personnel. Upon customer's check-in, tag, scan and park the unit.

Document all relevant information regarding the unit in DMS (make the ticket) by checking the vehicle history and warranty information. Notify customers of completed work, review final invoice and confirm method of payment. Follow up on parts that tested serviceable by the manufacturer with service manager. Ensure that all warrantable repairs are documented, technician's comments are descriptive and precise and that the allotted time is noted prior to submission for closing.
