The position of school secretary is a highly organized and detailed role. The School Secretary provides administrative support to the school, parish, and its staff. The School Secretary will maintain confidentiality at all times. The school secretary will discern situations that may include conflict of interest and will ensure clear boundaries are in place. Additional discretion is required with the following: school records, perform clerical tasks, prepare reports, and provide customer service to students, parents, and staff. The school secretary works under the direction of the principal.
School Secretary Duties and Responsibilities:
Answer incoming telephone calls and provide customer service to students, parents, and staff
Maintain student and staff records, transcribe minutes of meetings, and file documents
Prepare reports, correspondence, and other materials as needed
Perform data entry, filing, and other clerical tasks
Monitor school attendance and manage student attendance records
Provide assistance to the school staff with administrative tasks
Assist with school operations
Required to Handle confidential information with discretion
Ensure compliance with applicable laws and regulations
Excellent organizational, multitasking, and communication skills
Proficiency with Microsoft (MS) Office Suite and other software programs
Ability to maintain confidential information with discretion
Ability to work independently and take initiative
Professional demeanor and customer service-oriented attitude
Administrative/ Other Responsibilities:
Return voice-mail/e-mail messages in a timely manner
Communicate regularly with parents
Maintain a neat and orderly classroom
Demonstrate a respectful demeanor with staff, students, and parents
Observe utmost confidentiality regarding parent, student, staff information/conversations
Supervise playground and other areas of duty as the role may require
Other duties as assigned

Physical Requirements:
While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a phone system. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the school facility to attend meetings, briefings, and other work-related events.
The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and/or move up to 15 pounds.
