Purpose of Job

The purpose of this job is to provide support and assistance in one or more of the following areas:  secretarial and clerical, program coordination and assistance, creation of maps and informational materials, daily support of operations and maintenance, animal/exhibit maintenance and care, and performing additional tasks as assigned.

Job Related Requirements

Work Schedule:  Monday- Sunday working 8-hour shifts for a total of 16-24 hours a week.

Work hours are between sunrise and sunset and will vary seasonally. Working outside of these hours may be required for special events or programs.

May be required to work on religious holidays.

Regular and predictable attendance is required.

Must work cooperatively with others.

When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.

High school diploma or equivalent with one year of secretarial/clerical or applicable recreational experience required; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Must possess a valid driver's license.

Supervisory experience is preferred.The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Collects cash, checks, and credit card payments for entry fees, facility and grounds rentals and program registration, and records and processes per ACC cash handling policies, utilizing Point-of-Sale software where applicable.

Monitors assigned facilities, trails, and grounds; greets participants; enforces park rules and regulations.

Answers the telephone and/or radio, and directs calls to appropriate personnel; provides information to the public regarding programs, services, activities and reservations.

Prepares administrative paperwork, including authorizations for payment, labor vouchers, performance agreements and contracts.  Updates website and calendar of events as directed.

Assists with planning, coordinating, implementing and evaluating events, programs and activities as directed.

Prepares weekly, monthly, quarterly, and annual reports. Requisitions supplies and maintains inventory of office supplies, brochures, and needed forms.

Establishes and maintains contact and communication with outside agencies, groups, organizations, and volunteers. Serves on assigned committees as needed.

Prepares facilities, grounds, and trails for programs and events, including related maintenance and security needs and concerns.  Assists with general housekeeping maintenance as needed.

Provides secretarial and clerical support to the assigned facility; prepares, types correspondence and reports; copies documents; compiles employee time sheets; processes mail; distributes payroll checks; creates/revises and distributes brochures and other informational/educational materials.

When Assigned to Trails and Open Space

Completes frequent trail and property inspections by walking up to 5 miles per day or biking of up to 20 miles per day.

Utilizes iPad or similar mobile device and data management software to create, track, and complete work order data.

Uses software to track and monitor volunteer & community service activities.

Helps to recruit and train volunteers.

Maintains and monitors website and social media pages as necessary.

Occasionally transports participants to and from activities.

Assists with monitoring, inspecting, and maintaining facilities, grounds, and trails including safety inspections.

Opens and closes the facility, as needed including buildings and trails in remote areas.

Conducts trail maintenance and construction using hand tools, power tools, and other equipment.

Performs custodial service in facilities and on grounds including cleaning and trash removal.

Prepares facilities for rentals and special events including set up and take down of equipment.

Performs other related duties as required.

Knowledge, Skills and Abilities

Knowledge of the principles, practices and procedures of the Athens-Clarke County Government and the operations and functions of the Leisure Services Department.

Knowledge of secretarial, maintenance and recreational practices, policies and procedures as necessary in the completion of daily responsibilities.

Knowledge of modern office procedures.

Skill in planning and coordinating activities, oral and written communication, operating modern office equipment and maintaining accurate records.

Skill in organization, management, human relations, and technical skills.

Ability to effectively communicate and interact with, management, employees, members of the general public and all other groups involved in the activities of the Athens-Clarke County Government as they relate to the Leisure Services Department.

Ability to assemble information and make written reports and documents in a concise, clear and effective manner.

Ability to use independent judgment and discretion including the handling of emergency situations, determining and deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems.

Ability to comprehend, interpret, and apply regulations, procedures, and related information.

Ability to handle mathematical calculations

(ADA) MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

PHYSICAL REQUIREMENTS: Must be physically able to operate a variety of machinery and equipment including a computer, copying machine, calculator and typewriter.

Must be able to use body members to work, move or carry objects or materials. This position requires:  walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions.  Must be able to exert up to 20  pounds of force occasionally.

Must be able to ride a bike. Physical demand requirements are at levels of those for light duty work. Works indoors and outdoors and may be subject to rain, wind, cold and hot temperatures, and wildlife.

DATA CONCEPTION: Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.

INTERPERSONAL COMMUNICATION: Requires the ability to hear, speak and/or signal people to convey or exchange information. Includes giving and receiving assignments and/or directions to co-workers and assistants or from supervisors.

LANGUAGE ABILITY: Requires ability to read a variety of time sheets, requisitions, invoices, newspapers, letters, memos and informational documentation, directions, instructions, and methods and procedures.

Requires the ability to prepare reports, purchase orders billing statements, time sheets, documents, applications, logs and maintenance forms using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style. Requires the ability to speak to people with poise, voice control, and confidence.

INTELLIGENCE: Requires the ability to learn and understand basic principles and techniques; to acquire and be able to expound on knowledge of topics related to primary occupation; and to make independent judgment in the absence of management.

VERBAL APTITUDE: Requires the ability to record and deliver information, to explain procedures, and to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of administrative, technical or professional languages.

NUMERICAL APTITUDE: Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide.

FORM/SPATIAL APTITUDE: Requires the ability to inspect items for proper length, width, and shape, visually with a computer, copying machine, calculator and typewriter.

MOTOR COORDINATION: Requires the ability to coordinate hands, fingers, and eyes accurately in using a computer, copying machine, calculator and typewriter. Requires the ability to use the keyboard, lift, bend, push, and pull objects or materials using body parts as the position necessitates.

MANUAL DEXTERITY: Requires the ability to handle a variety of items such as a computer, copying machine, calculator, hand tools, utility vehicles, wheelbarrows and similar maintenance equipment.

Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have minimal levels of eye/hand/foot coordination.

COLOR DISCRIMINATION: Requires the ability to differentiate between colors and shades of color.

INTERPERSONAL TEMPERAMENT: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under moderate stress when confronted with an emergency.

PHYSICAL COMMUNICATION: Requires the ability to talk and/or hear: (Talking - expressing or exchanging ideas by means of spoken words). (Hearing - perceiving nature of sounds by ear).
