Job Summary:The Temporary Receptionist will play a key role in ensuring a professional and welcoming experience for all clients, staff, and visitors. This position is responsible for managing front-desk operations, including handling incoming calls, greeting guests, and providing administrative support to the Family Assistance Program. The ideal candidate is highly organized, detail-oriented, and committed to delivering exceptional customer service.
Key Responsibilities:
Operate and manage the switchboard functions of a computerized telephone system, including recording and selecting outgoing messages, taking messages, and transferring calls to appropriate staff or departments.
Greet clients and visitors warmly, ensuring they sign in and receive a visitor badge.
Direct clients to the appropriate staff or resources based on their needs.
Provide administrative assistance to the Director of Family Assistance, including organizing and maintaining office supplies, preparing documents, and supporting special projects.
Contact Building Services and/or Support Services to coordinate pantry deliveries, mobile distributions, and maintenance requests as needed.
Assist with general office duties such as filing, data entry, and email correspondence.
Support organizational events and initiatives by providing logistical and administrative assistance.
Maintain a clean and organized reception area to uphold a professional environment.
Perform other duties as assigned by the Program VP, Director, or Program Coordinator.
Qualifications:
High school diploma or GED equivalent required.
A minimum of two (2) years of experience managing a computerized telephone system and providing front-desk support.
Strong understanding of family assistance services, community resources, and United Way programs preferred.
Valid Texas Driver’s License.
Excellent communication and interpersonal skills, with the ability to interact professionally with diverse groups.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic data entry.
Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
High level of integrity and confidentiality when handling sensitive information.
