POSITION PURPOSE: To provide clerical support and customer service to the general public in matters involving the efficient operation of Public Utility Services.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Provide assistance to Solid waste Supervisor in correlating work orders and data concerning polycart inventory.
Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, and/or presentation software.
Open, sort, and distribute incoming correspondence, including faxes and email. Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan distribution.
Provide clerical support and prepare responses to correspondence containing routine inquiries. File and retrieve documents, records, and reports for Solid waste.
Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
Provide assistance to other departments as needed.
Perform other duties as required.
Excellent customer service is provided to the public. Phones are answered and customers are appropriately assisted.
Supply orders are placed in a timely and efficient manner. Departmental staff has the materials they need to perform their jobs adequately.
Records are organized, filed, and easily retrieved. Technology is maximized to create ease in generating reports.
Effective working relations exist with City personnel.
Employees are assisted. Departmental and managerial staff is appropriately informed.
Employee understands and adheres to applicable safety policies.

EDUCATION/EXPERIENCE High school diploma or general education degree (GED); and one year related experience and/or training; or equivalent combination of education and experience.
CERTIFICATES/LICENSES: Additional related training preferred.
REQUIRED KNOWLEDGE: Clerical Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
Customer and Personal Service Knowledge of principles and processes for providing customer and personal services.
English Language Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
Computer Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.
SKILLS/ABILITIES: Ability to use a 2-way radio.
Handle multiple tasks simultaneously.
Accurate and attentive to detail.

FINGER DEXTERITY: Manual dexterity sufficient to reach/handle items, work with fingers, and perceive attributes of objects and materials.
VISUAL ABILITIES: Normal vision, with or without corrective lenses.
PHYSICAL STRENGTH: Exerts up to 10 lbs. of force occasionally.
Light physical activity performing non-strenuous daily activities of an administrative nature. Extensive sitting. Frequent use of arms, hands, and fingers to reach, handle, touch, and feel.
LANGUAGE/COMPREHENSION: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
MATHEMATICS ABILITY: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rates, ratio, and percent and to draw and interpret bar graphs.
WORK SCHEDULE/HOURS: Variable. Part time schedule not to exceed 28 hours per week, which best fits data input and some customer relations.
OtherVariable lunch period and breaks in coordination with other personnel.
WORK CONDITIONS: Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
Noise level: Moderate noise (examples: business office with computers and printers, light traffic).

4-6 years clerical or work in related field.
4-6 years customer service experience.
7+ years specialized clerical or departmental experience.
Training or certification from vocational coursework.
Advanced knowledge of solid waste operating procedures.
Proficient Word and Excel skills.
Associate's Degree or equivalent in related field.
Knowledge of safety as it pertains to the job.
