Job Summary
The Part-Time Office Assistant provides a broad range of duties associated with the proper operation and smooth function of the assigned area and assists the Director in ensuring proper delivery of service and performance of program or department goals, objectives and outcomes.
Duties & Responsibilities
- Takes minutes of meetings as needed
- Prepares and submits college work orders
- Reviews and submits Board items as needed
- Maintains the Director's calendar with all relevant campus and college appointments and deadlines as requested
- Represents the Director at meetings and teleconferences when needed
- Maintains accurate files and records of Program activities and events
- Prepares and compiles a variety of complex and confidential correspondence and assists in compiling of reports
- Works with staff to coordinate schedules, events, and activities
- Assists with monitoring and compliance of program/department requirements
- Answers telephone, screens callers, relays messages and greets visitors as needed
- Monitors and audits data collection and entry, including distribution and collection of surveys
- Monitors program/department Student Selection process as requested
- Assists with mentor recruitment activities as assigned
- Supervises the work of volunteers, student assistants, and temporary clerical staff
- Performs other duties as assigned
Minimum Requirements
- Associate degree and two (2) years of office clerical or administrative experience
- Working knowledge of Microsoft Office applications
- Possess excellent writing communication skills
- Possess excellent organizational and decision-making skills
- Ability to reason and make sound judgments to decide how duties are to be completed in compliance with college standards and guidelines
- Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
Additional Requirements
The final candidate is to successfully complete a background screening and reference check process.
