The Legal Assistant will provide direct support to a team of two senior education attorneys. He/she must have experience working in a fast-paced, deadline driven environment, be organized, display excellent communication and people skills and maturity in handling business and confidential situations and be detail-oriented. He/she will prepare and organize documents for monthly board meetings; research and track education related legislation, produce standard and confidential correspondence; assist in preparing PowerPoint presentations regarding various education law topics; schedule meetings; produce expense reports for the team; provide phone coverage including taking messages, handling routine requests and forwarding call; organize and maintain legal files; organize and prioritize daily workload; and sort and distribute mail. Must be able to work independently and willing to perform other administrative duties as required.

  • Manage multiple projects in a fast-paced environment and able to prioritize projects

  • Edit, proofread, redline contracts, letters and other documents

  • Prepare and organize documents for monthly board meetings

  • Track and understand education related legislation

  • Operate and manage office machines/equipment such as: PC, Printer, Scanner, Photocopier and Fax

  • Produce standard and confidential correspondence

  • Compile special reports and perform administrative and management personnel to gather o convey relevant information

  • Organize and maintain confidential files and records

  • Create and maintain any necessary database and files

  • Screen incoming calls and correspondence and respond independently when possible

  • Arrange and track all FedEx and courier needs

  • Work effectively with internal and external clients

  • Plan and organize work and develop procedures to meet requirements

  • Confidently meet deadlines with minimal supervision

  • Interact with government officials

Human Resources Assistant * Provide Back-up Assistance to the St. HR Manager and HR Specialist to include: Assist with the process and reconcile staff payroll and personnel actions using system-wide tools and databases (UCPath, HBS- timesheet program, COGNOS, Cornerstone, etc). Assist with the reconciliation of staff payroll Assist in managing the Work Study and volunteer onboarding process. Review resumes and schedule interviews with hiring manager for Work Study students Process all Bruin Card transactions for volunteers, visitors, researchers, etc. Schedule interviews for open positions by utilizing the outlook calendar availability of Managers and Supervisors. Review applicants and interviews with managers and supervisors, and prepare all applicants for a Background check after an offer is accepted. Assist in sending out Bi-weekly payroll e-mail reminders to Managers and Supervisors. Assist in processing monthly and bi-weekly payroll for all staff (approx. 125 staff members). Assist in the follow-up and collection of annual performance evaluations. Assist in the maintenance of the online directory. Assist in the parking applications process and renewals. Attend payroll workshops and HR meetings to stay current with University procedural and policy changes. Maintain personnel payroll files in compliance with records management. Assist OIC with ULCA ID numbers, ID badge applications, and enroll OIC NP's in Care Connect as needed. Assist in the annual recognition days for MA's, Ortho Techs, Physicians, and Admin Assistants. Other Duties as Assigned. Financial Transactions * Prepare deposits. Prepare reconciliations Prepare transfers of funds (TOFs). Transact payroll expense transfers when needed. Monitor ledger activity via post-authorization notification system (PAN) and follow-up with third party preparers to correct for errors. Monitor general ledger for errors and process non-payroll expense transfers (NPEARs) as needed. Other duties as assigned by CFO Pre-Award Administration * Utilizing the Internet and other sources, identify funding opportunities for faculty research. Provide principal investigators with general funding agency proposal information such as appropriate forms, number of copies required, and deadlines. Provide information and assistance with the completion of University forms such as the Disclosure of Financial Interest and Goldenrod. Provide information and assistance with submission of proposals. Organize and maintain files. Special Projects and Reporting * Work on special projects as assigned by the CAO, the CFO, the HR Specialist, the Clinical Director, and the project manager. Participate in campus space planning survey, when applicable. Manage and update campus equipment inventory database for research-related equipment. Prepare and review consolidated status reports with CAO and CFO on a monthly basis for contracts and grant funds, gifts and endowment funds as assigned by the CFO as well as other research-related funds.Reports include:Projected funds balance summary, pending proposals, affiliate and third party accounts receivables, closing financial reports due and effort reporting system exceptions. The Chief Administrative Officer will assign special projects periodically. Aid with the filing and organization of the finance division's documentation Order applicable supplies for the finance division when needed Reconcile clinic cash data for Santa Monica, Spine, and Westwood clinics on a monthly basis Maintain an updated record of transcription and Hartford insurance expenses Utilize CareConnect to maintain an updated record of clinic and trauma call sessions on a monthly basis Aid in the training of work-study student on other duties when applicable Invoicing, Collections and Other * Prepare regular invoices to third-parties. Follow-up on collections. Track accounts receivable and prepare statements as necessary. Other special projects as assigned. Qualifications Intermediate MS Excel,MS Word and MS Outlook skills Skill in utilizing personal computer spreadsheet and word processing applications to prepare reports and presentations Skill in organizing information and documents for easy retrieval and to process work effectively.
