Become familiar with the Company website, partner organizations, sponsors, and local chapter mentors.Assign a chapter mentor to clients; include maintaining list of available mentors and keeping up-to-date on mentor specialties, capabilities and geography.Schedule office appointments for clients to meet with mentors.
Send reminders to clients and mentors prior to the meetings

Monitor the Client Not Yet Counseled (CNYC) list and following up with mentors per the chapter procedures.Provide office support (phone, voice-mail, fax, e-mail, website, office supply ordering, filing, ensuring the organization and office equipment is in good working order.
Ensure that supply orders are approved per chapter procedures.Develop and maintain office procedures.Maintain chapter rosters: e.G.
CORE, E-mail, Constant Contact, available mentors, provisional volunteer status lists.
Maintain the chapter organization chart, including officers and committees.Remind volunteers to complete the annual Code of Ethics and verify.Support workshops by coordinating and scheduling locations and presenters, creating the event on Constant Contact preparing material, reminding the attendees, ensuring payment systems are in place, setting up the room, managing evaluations, recording the workshop in CORE.Support the work of the Executive Committee and Chapter meetings with timely meeting reminders, attendance, minutes and distribution of materials.
Setup the meeting room and refreshments.Support annual meetings and major events through managing invitations and RSVP s, location, food selection, registration/nametags, etc.
Assist with promoting the event.
After the event enter new contact information (business cards) into Constant Contact.Help the chapter with Marketing through Facebook and website updates, newsletter creation and press releases.
Assist with keeping adequate brochure supply at designated locations.Carry out other specific projects as determined by the Executive Committee.

The Administrative Assistant position will provide administrative and general office support to the site and regional operations to ensure smooth and effective office operation and maximum efficiency. The Administrative Assistant will act as the primary point of contact for site personnel, including crews and supports the site and region. Essential Duties and Responsibilities: * Payroll, Billing, AP/AR, entering DOM As-Builts * Assist and support field management on projects and daily business needs. * Deploying corporate communication to the site and region. * Assist customers with immediate needs. * Help other employees with tasks impacting customers * Establish and maintain filing system, ensuring documentation/information is current and can be readily retrieved. * Assist with external and internal vendor relations, including but not limited to, payment of invoices, new vendor setup, and resolution of any vendor issues. * Handle incoming calls, emails and company related correspondence daily, including customer inquiries and complaints , routing inquiries/requests to appropriate individual/department for response, following up, and providing any coordination necessary to ensure response occurs in timely, efficient manner. * Organize and coordinate staff and other meetings, including preparing materials pertaining to agenda items, following up with staff members regarding status of action items, etc. * Respond timely to requests from Resource Management and Field Operations. * Keep site bulletin boards updated and neatly organized with company newsletters, safety bingo, daily scorecards, federal posters, workers compensation information, etc. * Attend crew meetings as needed to collect documents, communicate information and respond to inquiries. * Maintain safe work environment by following and supporting safe practices. * Maintains punctual, regular and consistent attendance. * Prepare and submits expense reports weekly as requested in accordance with company policy, including for traveling technicians and new hires. * Assist/provide back-up support to other office support employees as required. * Coordinate special projects as assigned. * Perform other duties as assigned. * Performing a variety of routine clerical tasks, including maintenance of file systems, logs, records and typing, compiling information to assist in the efficient accomplishment of support activities. * Invoicing, payroll, data entry, weekly reports, and assisting the area manager with customer relations. * Ability to follow verbal and written instructions and organized.
