This is an on-site, part-time 20 hours/week, Monday-Friday position

COMPENSATION AND BENEFITS

ESSENTIAL FUNCTIONS

Administrative Responsibilities:

  • Coordinate special projects including gift baskets, client holiday gifts, acknowledgement for clients, and mailings of executive letters

  • Support sales team and recruiting efforts by shipping conference supplies and marketing materials

  • Coordinate contracts on behalf of the President

  • Update client contract contact list

  • Compose, proof, and edit documents as needed. Create files, maintain and retrieve information and confidential files as requested

  • Oversee the home office administrative functions (furniture needs, space planning, building maintenance, etc.)

  • Serve as the primary person for front desk and office administration including greeting office guests, answering phones, mailings, shipping, etc.

  • Distribute incoming mail and faxes. Run outgoing mail through postage meter and mail

  • Serve as point of contact for UPS or other shipping entities. Support Home Office with shipping needs (i.e., asset management/IT)

  • Serve as point of contact for home office property manager

  • Serve as point of contact for Infinity Rehab's record retention program

  • Orders office supplies for home office and facilities while maintaining awareness and a good stewardship of the supply budget

  • Send new facility boxes for outpatient and SNF programs

Calendars/Meeting Arrangements:

  • Arrange meetings by finding venue, arranging meals, negotiating rates, arranging audio/visual needs, and handling all other needs to ensure a successful meeting

  • Review and reconcile final invoice to assure accuracy

  • Assist with travel arrangements as needed

Qualifications

  • High school degree or equivalent with additional training or education in administrative/human resources work

  • Exceptional relational skills to communicate effectively over the phone as well as in person. Superior communication skills; polished, professional, efficient.

  • Excellent detail orientation and accuracy

  • The ability to handle interruptions while maintaining a calm, professional demeanor

  • The ability to work successfully as part of a team

  • Lift up to 30 pounds

  • Outstanding proficiency in Microsoft Office applications, including Word, Excel, Outlook, Teams, and PowerPoint

  • Have excellent writing, editing, and composition skills

  • Solid knowledge of business protocols, best practices and practical, common sense business savvy

  • Equal ability to see the big picture and attend to the details

  • Be self-motivated, energetic, professional, organized, and able to prioritize assignments

  • Maintain confidentiality on privileged information, documents, communications, and conversations
