JOB SUMMARY

The Access Services Coordinator manages interlibrary loan and consortial resource sharing, provides targeted outreach to online students, promotes use of Learning Commons spaces and specialized Library resources, and is responsible for circulation and stacks maintenance. As the evening building supervisor, the position provides support for programs, research and information use for users in the building and online and ensures a safe and comfortable learning environment. The Library is a component of an integrated Learning Commons which supports the development of an engaging environment for students, faculty, and staff. Other areas of the Learning Commons include Career and Student Success, Pearce Communication Center, and the Honors Program. The Mastery Lab is a conceptual partner in the Learning Commons though housed in a different building. This position works closely with the Learning Commons Coordinator on circulation training for Learning Commons employees, knowledge of events and administrative support for evening programs, and provides oversight for student employees working in the evenings.

During the 32 weeks of the academic year, this part-time position is scheduled for 27 hours per week, Sundays 3:00 10:00 p.m. and Monday through Thursday 5:00-10:00 p.m. (4:00 p.m. once a week up to twice in a month for staff meetings). During 15 weeks of summer, the position is scheduled for 15 hours per week, with scheduling to be coordinated with other staff. The position reports to the Director of Edens Library while working collaboratively with other members of the Library and Learning Commons faculty and staff.

Qualifications

ESSENTIAL JOB FUNCTIONS:

Circulation and Document Delivery (30%):

  • Manage interlibrary loan and document delivery services, including through OCLC, PASCAL Delivers, EAST, etc.

  • Manage the circulation of books and materials, including notifications and billing for lost items.

  • Manage course reserves.

  • Provide data for reports.

Outreach (30%):

  • Provide outreach and marketing to all students about Learning Commons spaces and specialized resources (i.e., leisure reading, faculty development collection, graphing calculators, group study spaces, etc.).

  • Provide extensive outreach to online students through a variety of means to build their engagement with the Library and Learning Commons resources and services, including development of a virtual Learning Commons within the Canvas LMS or other online space.

  • Ensure commensurate displays and programming are available to online students as exist within the building.

  • Provide administrative support for evening programs and events, such as but not limited to posting signage, publicizing to online students, managing online access to hybrid events, ensuring location set-up and tear-down for evening events.

Training and Supervision (25%):

  • Train Learning Commons employees on essential circulation functions.

  • Train student employees on library-specific functions, such as but not limited to orderly shelving by Library of Congress classification, shelf-reading, and applying covers to books.

  • Provide oversight to student employees who work in the evening.

  • Ensure the proper shelving and storage of books and materials; maintain orderly stacks.

  • In collaboration with the Learning Commons Coordinator, engage student employees in developing engaging displays and programming that represent diverse voices and perspectives.

  • Communicate with Learning Commons Coordinator and area supervisors about evening student employees and training needs.

Public Services and Learning Environment (10%):

  • As a back-up to student employees and as a team-member for primary support during summer, provide basic research support and instruction on using information resources, effective learning strategies, and connecting with other faculty and staff for more specialized support.

  • Connect users with on-call librarians for advanced research and instruction support.

  • Manage access to the space, including all study room reservations.

  • Ensure the group study rooms, whiteboards, and furniture are tidy at the end of the evening.

  • Collect and manage data on building use.

Other (5%)

  • Performs other duties as assigned, within the general scope of the position description.

  • Participates in community life and activities of Columbia College.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Associate's degree or two years of college. Bachelor's degree and M.L.S./M.L.I.S. preferred.

  • 1-3 years of experience in a similar role, preferably in libraries, education, student support, or related areas applicable to provide additional learning or research support.

  • Working knowledge of Alma/Primo ILS, and interlibrary loan or document delivery platforms preferred.

  • Demonstrated experience providing collaborative leadership; previous supervisory experience preferred.

  • Evidence of affinity for building networks or linking people with resources, preferably in an asynchronous environment.

  • Marketing or promotional experience preferred, including graphic design or social media.

  • Evidence of effective organizational skills and attention to detail.

  • Competence with business math and written and verbal communication suitable in a business or professional setting.

  • Skill in the use of Microsoft Office Suite, utilizing Outlook, Word, Excel and Microsoft Teams, or related software. Experience with Canvas, Blackboard, Discord, or other virtual learning and collaboration space preferred.

PHYSICAL DEMANDS:

Requires sedentary work that involves walking, standing, lifting, carrying, pushing and pulling some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations.

WORKING CONDITIONS:

Work environment risks exposure to no known environmental hazards.
